Summary of Duties

In this Unit Coordinator role, this position provides a broad range of administrative support within the Outpatient Cancer Clinics (General Treatment Services) at the Odette Cancer Centre. As an integral part of the health care team and front-line staff, responsibilities include: Coordinating electronic physician orders with applicable software; Scheduling return to clinic appointments, internal/external consults, all tests and procedures (bone marrow aspirations, lumbar punctures, CT/US guided biopsies, medical imaging etc.) required by the oncologists; Receiving and screening all new and follow-up patients; Responding to general enquiries; Preparing patient charts; Data entry and correspondence through a number of software applications; Booking appointments; Ordering supplies; and Providing relief coverage and support services within the department. Competent Unit Clerks will be familiar with the variety of clinic sites, programs, physician guidelines, scheduling protocols, and software and will be cross-trained to function effectively in all of these areas.

Qualifications/Skills

  • Requires the completion of one (1) year of Community College; successful completion of Medical Terminology course preferred.
  • One year of Administrative/Business experience in a health care setting preferred.
  • Proven accurate keyboarding of net minimum 40 words per minute OR 106 keystrokes per minute.
  • Proficiency with MS Office computer skills (Word and Outlook) required; with working knowledge of in-house patient software packages (e.g. OASIS, Excelicare, etc.) preferred.
  • Proven ability to work with sensitivity and compassion with oncology patient population and their family/support people.
  • Outstanding customer service skills; patient-focused approach essential.
  • Demonstrated ability to organize, prioritize and follow-through effectively, working at a fast pace in an unpredictable environment that requires the ability to manage multiple tasks.
  • Established excellent communication skills required - oral, written and comprehension - to obtain and relay information, coupled with proven tact and diplomacy in handling and dealing with confidential information.
  • Requires well-developed interpersonal and team skills in an open work environment; collaborating and problem-solving as an effective member of the interprofessional team.
