JOB FUNCTION: Provide sales managers one reservations point of contact. Handle all reservations aspects of a group. and other group reservation functions. Work as a Reservations Agent booking corporate clients and VIPs as required through email & sales requests, Supporting the reservations and sales offices by accurately creating, maintaining, and closing room blocks and responding to all reservations related requests.
RESPONSIBILITIES:
- Handle all reservations aspects of groups including inputting rooming lists, in house correspondence, communicating room block cut off dates to sales managers, and providing requested literature and confirmation numbers
- Monitor room blocks for accuracy (cut off dates, pick up, suite blocks, rates, etc.) ensuring to keep group blocks balanced and rooms blocked to rooms used
- Create room blocks for clients with under 10 rooms and direct billing
- Handle reservation requests for specific associations and corporate contacts
- Assist with corporate rate building and wedding/social blocks
- Build last minute groups within Lightspeed
- Handle last minute additions/changes/cancellations to current room lists & reservations, and update/modify billing/comments to existing group masters & reservations
- Report pick up in CI
- Open and close the house
- Learning and managing the OneYield system
- Handle all VIP and upgraded accommodation, including assisting with amenities & guest room/ attractions packages per the sales team
- Keep groups balanced between all systems (CI, MARSHA, Lightspeed) & monitor OneYield redundancy
- Maintain Air Crew blocks, monthly manifests, and requirement updates
- Track monthly production by airlines and other groups, provide updates to Director of Sales
- Assist with administration of Group Bonvoy Points
- Complete 3rd party billing for corporate reservations
- Perform all duties in a safe manner according to established safe work practices.
- Report any accidents, injuries, near misses and/or hazardous conditions.
- Other related duties as necessary.
QUALIFICATIONS:
- Working knowledge of GEAC and Lightspeed.
- Previous hotel front office experience (1-2 years)
- Excellent verbal, written and interpersonal skills.
- Professional telephone etiquette.
- Ability to work in a fast paced, customer focused environment.
- Able to spend extended lengths of time viewing a computer screen, sitting up to 8 hours per day
- Must possess basic computer skills and computational ability including manual dexterity
- General knowledge of the city and attractions.
- Punctual and reliable.
HOURS OF WORK: Tuesday—Saturday; 8:30am - 5:00pm in general, some flexibility required based on business levels.
REPORTS TO: Rooms Division Manager & Director of Sales
Job Types: Full-time, Permanent
Expected hours: 32 – 40 per week
