King Animal Hospital, a new Equine and Small Animal Referral and Emergency Hospital, is seeking a Client Service Representative to join our growing team!
The Referral Client Services Representatives reports to the Client Services Manager and works closely with clients and with veterinary staff.
The main purpose of the Client Service Representative is to provide exceptional customer service to clients and ensure that their experience at the clinic is positive and welcoming. In providing an outstanding client experience, the Client Service Representative will build a positive relationship between the clinic and its clients.

Responsibilities include:
- Welcoming patients, clients, and visitors in person or on the telephone
- Working patiently, attentively, and compassionately with clients in various emotional states (distressed, angry, frustrated clients).
- Work with the veterinarians and RVT team to triage telephone calls and allocate appropriate advice.
- Manage the booking of patient appointments, via phone, email and text.
- Provide clients with estimates for costs and provide invoice and process payments.
- Manage the processing of insurance claims on behalf of the client.
- Working with insurance companies and/or veterinary financing companies to assist with client invoicing.
- Maintaining patient accounts and managing veterinary record requests by obtaining, recording, and updating personal and financial information.
- Completing referral intake processes, perform administrative tasks of medical and diagnostic records.
- Handling client complaints and concerns with professionalism and tact
- Processing payments and maintaining financial records
- Assisting with inventory management and ordering supplies as needed
- Assisting with various administrative tasks, such as data entry
- Maintaining a clean and organized reception area
- Protects clients’ rights by maintaining confidentiality of personal and financial information.
Our Ideal Candidate:
The successful candidate will be an excellent team player, have a passion for animal care and have the desire to work in a collaborative, multidisciplinary environment.
- High school diploma or equivalent.
- Previous experience working in a veterinary clinic or similar setting preferred.
- Previous experience with scheduling, administration, and or data entry.
- Demonstrated experience in client or customer service role is preferred.
- Excellent customer service skills and the ability to handle difficult situations with patience and professionalism.
- Strong communication and interpersonal skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Detail-oriented with strong organizational skills.
- Familiarity with basic computer programs, such as Microsoft Office.
- Willingness to work flexible hours, including evenings, overnight shifts and weekends.
- Role requires rotating shifts 7 days a week, days, evenings, and overnights
- Some administrative experience and skills are a great asset

King Animal Hospital is a newly constructed 60,000 sq ft. Equine and Small Animal Referral and Emergency Hospital.
The Hospital is situated in a serene location on 50 acres of land in King City, ON and will house all veterinary specialty areas under one roof including: surgery, neurology, oncology, diagnostic imaging, ophthalmology, anesthesiology, cardiology, internal medicine, dermatology, and rehabilitation.
With a strong multidisciplinary team, and leading diagnostics, tools, and practices our team will ensure that each animal receives compassionate and informed care.
You will know more, do more and save more lives through collaboration with a multidisciplinary team and leading diagnostics including:
1.5 MRI (Siemens) for equine and 3.0 T MRI (GE) for small animal, CT scan for equine and small animal, CT scan with robotic arm, c-arm in orthopedics OR, x-ray, and ultrasound.
The hospital has 8 Operating Rooms, 12 exam rooms, 2 staff kitchens, education center with state-of-the-art AV equipment, employee gym, 6000 sq ft indoor equine arena, in-house lab and pharmacy.
Our rehabilitation includes pool and water treadmills for small animal, water treadmill for equine, rehabilitation room equipped with hyperbaric chamber, and laser therapy.
