KEY PURPOSE:
The Wholesale Sales Associate & Administrator is responsible for supporting the wholesale sales team in terms of driving revenue, managing customer relationships, and handling administrative tasks. This dual role involves direct communication with wholesale clients, order processing, reporting, and ensuring that back-end operations align with the sales process. The ideal candidate is detail-oriented, organized, and customer-focused.
PRIMARY RESPONSIBILITIES:
Sales and Marketing Support:
- Assist with the management of wholesale accounts and client communications.
- Support the sales team with order entry, follow-ups, and tracking.
- Process purchase orders accurately and coordinate with inventory/logistics teams for fulfillment.
- Maintain and update line sheets, price lists, and seasonal product catalogs.
- Prepare sales reports, client summaries, and performance data as needed.
- Coordinate product samples, swatches, or lookbooks for wholesale presentations or trade shows.
- Support sales during market weeks and assist with showroom appointments when applicable.
Administrative Duties:
- Maintain accurate records of client information, orders, and invoices.
- Manage and organize digital and physical filing systems related to sales and operations.
- Coordinate internal meetings, scheduling, and general calendar management for the sales team.
- Assist with general office tasks including document preparation, email correspondence, and shipping logistics.
- Track shipments and follow up on delivery confirmations or issues.
- Monitor stock availability and communicate delays or substitutions to clients as needed.
QUALIFICATIONS & EXPERIENCE:
- Bachelor’s degree in business, Marketing, or a related field preferred.
- 1-3 years of experience in wholesale, sales support, or administrative roles.
- Proficient in Microsoft Office Suite (especially Excel) and wholesale platforms (e.g., JOOR, NuORDER, Shopify B2B).
- Excellent communication and interpersonal skills.
- Strong attention to detail, accuracy, and organization.
- Ability to multitask and prioritize in a fast-paced environment.
- Experience in the fashion, home goods, or consumer products industry preferred.
- Familiarity with CRM systems and order management platforms preferred.
- Understanding of wholesale seasonal cycles and sales calendars preferred.
