Location: Head Office (10 Carlson Court)
Job Description:
The Office & Administrative Support Coordinator will be responsible for office services at the head office location. As the key point of contact, you will receive visitors, contact vendors for head office services, and assist with office meeting requirements & company-wide events among other duties.
- This role requires the successful candidate to be on site each day.
Responsibilities:
- Assist & welcome visitors as needed
- Manage inventory of office consumables (stationary/paper supplies)
- Ensure kitchen items are stocked /ordered based on need
- Manage incoming/outgoing mail/courier processes within the office premises & provide notification to recipient for timely pick up.
- Procure shipping/mail room supplies as needed
- Communicate with vendors for services required (Ie- coffee/ water machines/shred it and other suppliers.
- Coordinate with vendors for janitorial services, pest control, plant maintenance and other providing access to site and address any concerns they may relate
- Advise Day Porter if other services are required throughout the day (could be feedback from staff, spills etc.)
- Ensure invoices relating to office/coffee are accurate to received goods
- Assist with general office maintenance tasks, such as coordinating repairs, and addressing facility and equipment related issues (e.g., Multifunction devices, office supplies, water machines, coffee machines).
- Support in office meeting catering requirements as requested
- Support in-office events and company-wide planning in collaboration with others as needed
- Collaborate with teams to address facility-related needs or issues (ie temperature controls).
- Manage administration of pass cards to building (including parking/gym pass cards) and address any issues or discrepancies where applicable.
- Distribute parking vouchers to employee and visitors (where applicable)
- Conduct daily walk-throughs to ensure meeting rooms/enclaves have IT equipment in place & report discrepancies to IT.
- Assist other departments with admin duties (such as scanning of mail, checks, invoice etc.)
Requirements:
- A minimum of 2-3 years of sound office /administration experience
- Excellent organizational and multitasking abilities
- A team player, who has a track record of getting things done
- Excellent knowledge of MS Office, SharePoint, and office management software.
- Strong communicator, verbal and written
- Self-starter with the ability to think proactively under minimal supervision
