About Supervisor, Document Management
The Supervisor, Document Management, plays a critical role in overseeing the organization, processing, and flow of medical documents. This role ensures that records are accurately managed, organized, labeled, and categorized, ensuring accuracy and proper storage. By leading a team of document management coordinators, the Supervisor offers guidance and support, and acting as a key connection between the Document Management Coordinators and the Manager.
Main Responsibilities:

Supervise daily operations of the Document Management Team, ensuring SLA adherence and addressing performance issues to maintain compliance, consulting with the Administrative Services Manager as needed.

Delegate tasks and balance team workload efficiently.

Onboard and train new staff on document protocols and procedures.

Identify and implement process improvements in collaboration with the Administrative Services Manager.

Develop and enforce adherence to Standard Operating Procedures (SOPs).

Escalate operational challenges and process trends to the Administrative Services Manager.

Serve as the primary point of contact between the Document Management Team and other departments.

Address document-related inquiries from internal and external stakeholders.

Coordinate with IT support for document system updates, troubleshooting, and issue resolution.

Perform other administrative tasks as assigned or required.
Qualifications
- College diploma.
- 1–2 years of experience in a medical or insurance office environment.
- Proven leadership and team coordination skills.
- Excellent computer proficiency, particularly in the Windows environment and Adobe Acrobat (including PDF editing and form management features).
- Working knowledge of privacy legislation (e.g., PHIPA, HIPAA) and document confidentiality best practices.
- Strong written and verbal communication skills.
- Demonstrated initiative, sound judgment, and the ability to work both independently and collaboratively.
- Exceptional organizational and time management abilities.
- Enthusiastic team player with a proactive and problem-solving mindset.
