As a Project Administrative Assistant/Receptionist, you are passionate about the construction industry and have a strong sense of customer service excellence and a people-focused attitude. As a key member of the team, you will put your knowledge to work and provide administrative support at every stage of the construction process.
What You Will Do
Project Administrative Assistant Duties:
- Assist the project and APEX team(s) with administrative and support;
- Collaborate and keep the lines of communication open when working with team members, trade partners, manufacturers, consultants and clients;
- Effectively use Procore and be a key resource for all project team members;
- Take pride in using and maintaining our innovative internal technology systems;
- Jump in right from project start-up to assist with project and team processes;
- Utilize your passion for organization through maintenance of standard team documents, design documents, RFI’s, client submittals and contract compliance documents;
- Support the booking of team travel and ensure proper project billing;
- Embrace the learning experience and be open to internal career opportunities;
- Celebrate team success, milestones and support the planning of team and project social events.
Receptionist Duties:
- Greet and welcome guests as they arrive at the office;
- Answer, screen and forward incoming calls;
- Receive, sort, distribute and send daily mail/deliveries;
- Maintain office security by following safety procedures and controlling access via the reception desk;
- Order office supplies, keep inventory of stock and ensure coffee machines are regularly serviced;
- Update calendars, schedule meetings, update reservations for conference rooms;
- Maintaining general cleanliness of general office areas and conference rooms;
- Point of contact for office maintenance and generic office communication;
- Perform other clerical receptionist duties such as filing, photocopying, data entry and faxing.
This role could be for you if you have
- 2+ years’ administrative experience;
- A College Diploma in the field of Office Administration, Health & Safety, or a combination of education and industry experience;
- Strong knowledge of the construction industry;
- A customer service attitude;
- Multitasking and time-management skills, with the ability to prioritize tasks
- A proven track record of project administrative support and team leadership skills;
- Solid written and verbal communication skills;
- Strong computer skills with enthusiasm for innovation;
- Proven organizational skills and a keen attention to detail.
