What you would engage in:
We are seeking a highly organized office-based Project Administrative Coordinator to support the logistical, administrative, and operational needs of our project teams. You’ll be the point person for coordinating travel, accommodations, project vehicles, and supplies.

This is an excellent opportunity for someone with a background in office management, executive administration, or project coordination looking to apply their skills in a dynamic, project-focused environment. Key responsibilities include:

  • Fleet & Travel Coordination
  • Book and track site vehicles and coordinate rentals
  • Manage hand-over of vehicles between staff and oversee vehicle maintenance
  • Arrange travel bookings (flights, car rentals, etc.) for staff
  • Accommodation & Housing Logistics
  • Book hotels and manage related invoices and approvals
  • Oversee apartment leases, renewals, notices, and cleaning logistics
  • Serve as primary contact for key hand-offs and general apartment logistics
  • Procurement & Supplies
  • Coordinate procurement and distribution of field equipment and office supplies
  • Track and manage field instrumentation held in storage
  • Expense & Documentation Management
  • Collect and reconcile gas receipts and credit card purchases
  • Maintain accurate tracking for hotel invoicing and apartment-related expenses

What we require:
We respect the knowledge and experience you have gained to date and are willing to help you build on it. We do however require the following qualifications:

  • Proven experience as field coordinator, site administrator, project administrative assistant or in a similar role.
  • A minimum of five years’ experience in a professional environment. Experience in a project-based environment is an asset.
  • Able to take direction and provide timely feedback on progress of tasks.
  • Above average proficiency in MS Office (MS Word, MS Excel, and MS PowerPoint, in particular), and PDF software (Bluebeam and/or Acrobat preferred).
  • Exceptional attention to detail, with a keen eye for the written English language.
  • Strong organizational and time management skills.
  • A professional demeanor and interpersonal skills.

The salary for this position is $60,000 to $80,000 per year. Salary is based on applicable experience, education, and skill level.
