About the position

We are looking for a Coordinator to join the Professional Development (PD) department in our Toronto office, reporting to the Director and working closely with the Manager, Professional Development. This role is pivotal in executing the department’s initiatives through effective coordination and management of special projects. The ideal candidate will be a proactive and reliable critical thinker, demonstrating ambition, independence and exceptional organizational skills to effectively support the department’s objectives while managing administrative tasks efficiently.

The Professional Development department is an integral part of the firm, responsible for maintaining and enhancing our lawyers’ knowledge and skills. The Coordinator, Professional Development will work in the office a minimum of four days per week with the option to work from home on the remaining day.

Primary Responsibilities

Administrative Support

  • Coordinate registration, approvals and expense processing for external conferences and internal professional development sessions
  • Schedule and support logistics for training programs, including room bookings, invitations and catering
  • Manage logistics for group meetings and ongoing professional development activities
  • Track attendance and maintain cost reports for internal training sessions
  • Provide comprehensive administrative support to the PD Department

Data Management

  • Maintain accurate attendance records and update internal databases and platforms
  • Manage digital content for PD programs, including uploading and organizing session materials and recordings

Communication and Coordination

  • Distribute feedback surveys, compile results and prepare summary reports
  • Monitor shared inboxes and respond to inquiries in a timely, professional manner
  • Collaborate with various internal teams to ensure seamless delivery of PD programs

Project and Event Support

  • Support the planning and execution of key PD initiatives and events
  • Assist with compliance reporting and documentation for professional licensing bodies
  • Contribute to quarterly and annual reporting processes

Project Coordination

  • Assist in managing special projects, developing timelines, tracking progress and communicating updates to stakeholders

Qualifications

  • Minimum of 3 (three) years of experience in a similar role, with demonstrated experience in coordination of special projects
  • Proven ability to work independently and effectively, showcasing ambition, reliability and a proactive approach to problem solving
  • Strong critical thinking skills, enabling efficient analysis and resolution of complex issues
  • Exceptional administrative, time management and organizational skills with a keen eye for detail
  • Strong interpersonal, written and verbal communication skills
  • Proficiency in Microsoft applications (Word, Excel, PowerPoint) and the ability to learn new software
  • Professional and tactful with the ability to interact effectively with people at all levels
  • Prior experience in a law firm or professional services environment is highly beneficial
  • A diploma or certificate in office administration or a related field is considered an asset
