The Role We are looking for a Building Operations Assistant (BOA) to support our Real Property Planning and Management Branch. The incumbent would be someone who shares our core values of Integrity, Excellence, Respect and Creativity.

The Building Operations Assistant plays an important role within a team working towards supporting the researchers, engineers, and technicians in fulfilling their project goals and obligations. This role is focused on results, but also understand that assisting the client in achieving their larger goals is a success.

The incumbent will be expected to coordinate and handle all shipping and receiving needs of the client and property as well do security screening of all staff and contractors, invoicing, surplus of retired equipment, quotes, operation of pallet jack to move material around, and coordination of day-to-day activities. In addition to these tasks, you will be expected to help support the Operations team at times with: escorting contractors, assisting with small physical maintenance tasks, performing monthly inspections, set ups and teardowns for the client, preparing office space and monitoring accessibility for new hires, etc. You will be handling many priorities as we have a very busy and diverse work site.

The Building Operations Assistant typically works a 37.5-hours work week with only the occasional need for overtime – but no shift work, and no regularly scheduled weekends.

Screening Criteria Applicants must demonstrate within the content of their application that they meet the following screening criteria in order to be given further consideration as candidates:

Education Successful completion of secondary school according to provincial standards.

Experience

  • Significant* experience reporting and tracking data using MS Office suite products such as Word, Excel, and Outlook.
  • Significant* experience performing administrative duties such as preparing and maintaining filing systems, documenting office procedures and drafting internal and external correspondence.
  • Significant experience working in a shipping, receiving, and stores environment, including: ○ The inspection and verification of incoming goods against purchase orders; ○ Preparing and packaging items for dispatch in accordance with handling requirements; ○ Managing inventory and stock rotation, coordinating with couriers and freight carriers; and ○ Maintaining accurate records using computerized inventory or warehouse management systems.
  • Significant experience providing first-level client support services to internal and external stakeholders in a fast-paced and multi-functional environment.
  • Significant experience is defined as two (2) to six (6) years of experience.

The following experience criteria would be considered an asset:

  • Experience following procedures in compliance with the Transportation of Dangerous Goods (TDG) program.
  • Experience entering and updating data in SAP for procurement and material management functions.
  • Significant means a minimum of 2 years experience.

Condition of Employment

  • Must be able to possess and retain the physical capabilities to perform the duties of this position including the ability to lift/carry up to 45lbs, to twist, bend, and reach.
  • Reliability Status

For a Reliability Status, verification of background information over a period of 5 years is required.

Compensation From $49,665 to $65,854 per annum.

In addition, the incumbent who meets the language requirements will receive the Bilingualism Bonus of $800 per year.
