About the role

Job Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. In this role, you will provide essential support to ensure the smooth operation of our office. The ideal candidate will possess excellent communication skills, a strong understanding of office procedures, and the ability to manage multiple tasks effectively. This position is vital for maintaining efficient office operations and providing outstanding customer service.

Responsibilities

  • Manage front desk operations, including greeting visitors and answering phone calls and emails with professionalism and courtesy.
  • Organize and maintain files, both physical and digital, ensuring easy access to important information.
  • Handle customer inquiries and provide support in a timely manner to enhance client satisfaction.
  • Maintain office supplies inventory by placing orders as necessary.
  • Office maintenance: keep common areas neat and tidy, water plants, restock refreshments, maintain posted calendar of events
  • Update reader board of events on a daily/weekly basis
  • Keep an inventory of office supplies and order when necessary
  • Print banquet event orders (BEOs) for weekly management meetings
  • Assisting with wedding coordination as required
  • Conduct tours of the facility
  • Maintain/update buffet labels and building signage as needed
  • Create floor plans and meal charts as needed
  • Assist with social media content creation - take photos/videos of events/set ups
  • Assisting sales managers in all aspects of the position
  • Completing duties as assigned by other department managers

Qualifications and Skills

  • Minimum of 1 year of administrative experience in an office environment
  • Proficient knowledge of Microsoft Word, Excel, PowerPoint, & Outlook is required
  • Proficient knowledge of Canva is an asset
  • Strong English verbal and written communication skills
  • Excellent organizational skills
  • Ability to multi-task
  • Proven customer service skills – be friendly, start conversations
  • Pleasant and professional phone demeanor
  • Show initiative
  • Be decisive and make decisions on the spot
  • Available to work Monday through Sunday between the hours of 9am – 6pm
  • Own transportation is an asset

Job Type: Full-time

Pay: $18.00-$22.00 per hour
