Reporting to Manager of IT, the IT Department Coordinator will provide first and second level support to end users on all IT and telecommunications systems on a day-to-day basis for Rexall Support Center as well as Store support.
As an IT Coordinator, the job incumbent is responsible for the management of varied activities within the desktop support purchasing and invoicing, vendor management, office supplies, SOX and PCI compliance and assorted duties associated with maintaining day-to-day operations.
As the Project Specialist, the job incumbent manages projects from the beginning to end under supervision of Project Manager, including defining project goals and scope, developing project plan, liaising with stakeholders and tracking progress on an ongoing basis.
Principal Responsibilities:
1.Vendor Management
- Assist in the entire lifecycle of asset management, including ordering, receiving, recording, daily inventory reports, shipping, invoice/PO processing (JDE), asset tracking.
- Responsible for inventory, which includes the entire life cycle of all end-user equipment and accessories (PC, Laptop, Phones, Software, etc.).
- Coordinate hardware and software replacement, upgrade, and repair/warranty
- Work with Finance to set up all new vendors in JDE
- Update and maintain IT vendor/contractor database including contract terms, payments, invoices and contract renewals
2.Perform Day-To-Day Operations

- Maintain general stock of office supplies for Desktop Support
- Manage shared resources (IT peripherals for RSC users)
- Coordinate new hire orientation and workstation setup
- Ensure company assets are secured in appropriate cabinets
- Perform off boarding procedures including asset retrieval, deactivation of system accounts, RSA tokens, and building security FOBs
- Assist Facilities Department with “general” areas
- Shipping and receiving of all assets going to and from the stores and home office locations
- Prioritize and categorize calls via the remedy ticketing system, emails, and phone calls
- Perform other duties as assigned to support Rexall Pharmacy Group
3.Project Specialist
- Plan, schedule and manage project timelines and milestones using appropriate tools
- Create project plans and related communications
- Continually manage project expectations with team members and other stakeholders
- Identify project stakeholders and liaise with them on an ongoing basis
- Communicate to appropriate stakeholders with relevant reports
- Develop and deliver progress reports, proposals, requirements documentation, and presentations
Knowledge, skills and experience:
- College diploma in a relevant field; University degree preferred.
- 3 - 5 years’ IT support and operations
- Experience working with Tier 1 server, desktop, network, printing, scanning and mobile device
- Knowledge of Microsoft Windows Server and Windows Operating System; working knowledge and specialized troubleshooting skills for Microsoft Office 365 product suite, email system
- Familiar with SCCM, Active Directory, Citrix, JDE, MDM software, RSA Security, i0S, Android, Linux, and many other applications used in a corporate environment is a plus
- Knowledge of wireless networking and mobile computing in a home and retail environment.
- Knowledge of Numara remote management software is an asset
- Knowledge of the Service Now ticketing system is an asset
- Excellent analytic and problem-solving skills
- Outstanding communication skills in both written and verbal
- Commitment to teamwork but also work independently as the need arises with minimal direction
