Position Overview:
The Supportive Housing Supervisor oversees the daily operations of supportive housing programs,
ensuring high-quality care, compliance with regulations, and a positive living environment for residents. This role is responsible for staff supervision, coordinating services, conducting audits, data reporting, and involvement in health and safety activities, among other administrative tasks. The Supervisor will also support staff through orientation, training, and performance management, participate in
committees, and ensure the delivery of high-quality services.
Key Responsibilities:
Staff Supervision & Leadership:
- Supervise a team of Personal Support Workers (PSWs) and Housekeepers by leading, mentoring, and supporting them to deliver high-quality personal care services.
- Provide ongoing training and development opportunities for PSWs to ensure compliance with industry standards and regulations.
- Assist with conducting or providing input for performance evaluations, addressing performance issues, supporting conflict resolution, and managing daily scheduling conflicts.
- Foster a positive team culture through effective communication, collaboration, and support.
- Lead shift reports, monitor shift reports, and build trends/data to track staffing performance and service delivery.
Resident Care & Service Coordination:
- Ensure that the PSW team delivers person-centered care, respecting residents' dignity, privacy, and rights.
- Work with healthcare professionals to develop, implement, and review personalized care plans for residents.
- Monitor residents’ health and well-being, addressing any changes in health or behavior promptly.
- Review consumer service plans and ensure tasks and times align with the service agreement.
- Coordinate with external professionals (e.g., OT, PT, SLP) to support resident care and safety.
Policy, Compliance & Documentation:
- Ensure all services comply with applicable laws, regulations, and organizational policies.
- Oversee accurate documentation of client care activities, incidents, and any updates in compliance with confidentiality standards.
- Investigate complaints or incidents related to PSWs, report findings, and implement corrective actions.
- Monitor compliance with health and safety protocols, ensuring staff follow proper procedures.
- Complete audits of service activity records, keys, pagers, and employee performance.
Scheduling & Administrative Tasks:
- Assist the CSSC team and manager with appropriate shift coverage for staff, adjusting schedules as needed and making updates in AC (staff scheduling system).
- Assist CSSC team and Manager to address shift exchange requests, ensure schedules are posted, and request approval for overtime or schedule changes as necessary.
- Be the back up to the manager for posting master rotations in alignment with scheduling calendar deadlines.
- Ensure all communication (e.g., emails, voicemails, reports) is reviewed and prioritized as per policy.
Health & Safety & Audits:
- Ensure compliance with health and safety regulations, including conducting safety event investigations and reporting.
- Participate in PPE audits and ensure staff have the necessary materials and tools to perform their duties safely.
- Conduct regular audits (e.g., service activity records, key audits, pager phone audits) to ensure quality control and identify any operational issues.
- Support joint health and safety committees, ensuring ongoing compliance with safety standards.
Committees, Meetings & Reports:
- Participate in committees and meetings as required, contributing to discussions and providing insights on supportive housing practices and policies.
- Lead the preparation and delivery of regular shift reports and data analysis, highlighting trends and areas for improvement.
- Prepare for and attend team huddles, reviewing outstanding items, discussing new developments, and making recommendations for action.
- Document and prepare minutes for staff meetings and safety exercises.
Payroll & Administrative Coordination:
- Assist manager in the preparation and review of payroll based on shift reports and changes,
ensuring accuracy before submitting for approval. Reconcile prior day staffing changes, adjusting payroll records as necessary.
- Maintain accurate records of employee schedules, sick leave, vacation, and other relevant data.
- Ensure all reports (EOD reports, incident reports, shift reports) are completed on time and accurately.
Consumer Intake & Care Coordination:
- Process consumer intakes, ensuring all documentation is completed, and assessments are performed in accordance with policy.
- Develop service plans for new consumers, ensuring all required documents (e.g., service agreement, medication agreement) are signed.
- Conduct regular consumer service agreement renewals, ensuring service plans are updated to meet residents’ needs.
- Handle consumer complaints and coordinate resolutions, keeping management informed of issues and actions taken.
- Coordinate with healthcare professionals to assess and adjust care plans based on ongoing needs.
- Assist with tenancy recruitment process and new client applications for new apartments
Supervisory & Employee Development:
- Conduct orientation and training for new employees and agency staff, ensuring they understand policies and procedures.
- Assist with performance management, including conducting performance appraisals and implementing training for staff development.
- Support employees in the return-to-work process and monitor their progress, implementing interventions as necessary.
- Attend and contribute to employee performance management meetings with the Program Manager and People and Culture.
End of Shift & Closing Tasks:
- Complete and submit the Supervisor’s End of Day (EOD) report, ensuring that any outstanding issues are addressed.
- Ensure that all communications, including voicemails and emails, are checked and responded to in a timely manner.
- Secure office and site equipment, and ensure all necessary supplies are replenished.
- Ensure that the emergency on-call binder is updated and available for staff reference.
Other Duties:
- Perform other duties as assigned to ensure the effective operation of the supportive housing program and to meet the evolving needs of residents.
