Job Overview
We are seeking a detail-oriented and organized Receptionist/Accounting Administrator to join our team. This role is essential in ensuring the smooth operation of our financial processes within our office environment. The ideal candidate will have experience with accounting software and possess strong customer service skills. As an Accounting Administrator, you will be responsible for managing financial records, assisting with front desk operations, and providing exceptional support to both staff and clients.
Duties
- Accounting Administration:
- Process invoices, payments, and receipts in a timely manner.
- Assist with payroll processing and employee expense reimbursements.
- Perform data entry tasks and ensure all information is accurately recorded.
- Proofread financial documents to ensure accuracy and compliance with company policies.
- Utilize Google Suite for document management and communication within the team.
- General Office Duties: Answer phones, greet visitors, send couriers, check mail, and manage incoming/outgoing correspondence.
- Document Management: Deliver and collect documents, Scan, file, and organize digital and physical records.
- Supplies & Inventory: Track and order office supplies (Staples), uniform inventory (WinTeam), and janitorial supplies.
- Fleet Vehicle Maintenance: Schedule and track vehicle servicing.
- Weekly Orientation Meeting: Facilitating a weekly meeting
- Mail & Package Handling: Pick up packages from the post office and complete grocery store runs on Mondays.
- Facility Maintenance: Run and empty the dishwasher, water office plants, and manage ice melt in winter.
Qualifications
- Previous experience as an Accounting Administrator/reception or in a similar clerical role is preferred.
- Strong organizational skills with attention to detail in all tasks performed.
- Excellent proofreading abilities to ensure accuracy in documentation.
- Comfortable using computers and various software applications including Google Suite.
- Strong interpersonal skills to effectively communicate with clients and team members.
- Ability to work independently as well as part of a collaborative team environment.
