Job Summary

Dalhousie University’s People and Culture team strives to ensure Dalhousie’s people and culture goals and core values are aligned and fully embedded across the institution so that all members of the university community feel included, motivated, and supported to excel in their careers and in advancing the mission of the university. Reporting to the Executive Assistant and Operations Manager (EAOM), People and Culture, the Office Coordinator will provide reception and administrative support to the People and Culture offices.

Key Responsibilities

  • Oversee the front office operations. Act as first point of contact for visitors and staff. Greet and direct visitors to the office, using Outlook calendars to confirm corresponding meeting times. Answer incoming telephone calls and respond to inquiries. Manage the People and Culture general email project account.

  • Provide administrative/operational support to the department, the EAOM, and other senior leaders as required. This includes scheduling meetings, managing calendars, and booking appointments. Provide support to other units within People and Culture as needed.

  • Provide administrative support to the Labour and Employee Relations and Job Design units, including fielding and directing email inquiries; data entry; electronic filing; preparing and distributing templated letters; scheduling meetings; and checking and processing confidential and time sensitive documentation.

  • Oversee room bookings for meeting room and internal spaces. Receive and schedule requests for space. Ensure technology is in order before/after bookings. Assist with questions regarding audiovisual (AV) systems in rooms, contacting AV support as needed.

  • Deliver additional administrative support such as maintaining/ordering office supplies; ensuring incoming and outgoing mail/courier packages are prepared, sent, and distributed; and submitting service requests for maintenance matters.

Note

Due to operational requirements, the successful applicant is required to work in-person on campus.

Required Qualifications

  • Business/Administrative Professional Diploma with at least three (3) years’ related experience (or equivalent combination of training and experience).

  • Proficiency in MS Office applications (Outlook, Word, Excel, Teams, OneNote) and database systems such as SharePoint or OneDrive.

  • Proven excellent interpersonal, teamwork, and communication (verbal and written) skills.

  • Demonstrated strong attention to detail, organizational and prioritization skills.

  • Proven ability to work independently and multi-task in a deadline driven environment with frequent interruptions.

Assets

  • Experience using Banner and SharePoint/OneDrive databases.

  • Experience in the post-secondary sector.
