About the Role
We’re seeking a highly organized, tech-savvy, and mission-driven Executive Assistant for a period of 3 months with possibility of extensionto support our Executive Director and Board of Directors, while leading impactful communications that share our story and strengthen community connection.
This is a unique opportunity to blend high-level executive administrative support with creative leadership in internal and external communications, including social media, newsletters, and event coordination. You’ll be the key liaison between leadership, staff, stakeholders, and the community.
This position follows a Monday–Friday, 8:30 AM – 4:30 PM schedule with occasional evening work for meetings or events.
What You'll Do
Executive & Board Support

Manage the ED’s schedule, communication, and event coordination.

Support the Board of Directors – scheduling, minute-taking, material preparation.

Coordinate key organizational events (AGM, Board Retreat, trainings).

Prepare and finalize internal/external memos, letters, presentations.

Maintain records and ensure follow-ups on strategic planning actions.
Communications & Fundraising
-
Lead and implement a strategic communications plan aligned with CLGS’s values.
-
Develop newsletters, press releases, memos, web and social media content.
-
Promote awareness, inclusivity, and advocacy through storytelling.
-
Support donation and fundraising efforts across programs and campaigns.
-
Uphold consistent branding, tone, and accessibility across all materials.
Reception Oversight & Office Coordination
-
Supervise and support reception staff/volunteers.
-
Coordinate office supplies, emails, calls, room bookings, and front desk duties (~8–10 hrs/week).

Ensure front-line reception aligns with CLGS’s values of inclusion and dignity.
Social Media & Digital Engagement
-
Manage accounts (Facebook, LinkedIn, Instagram, Twitter/X).
-
Create content and campaigns that highlight events, advocacy, and impact.
-
Track analytics and adjust strategy for stronger engagement and visibility.
-
Respond to messages/comments professionally and compassionately.
What You Bring
-
3–5 years experience in executive administration, communications, or non-profit coordination
-
Excellent writing, editing, and interpersonal communication skills
-
Strong organizational and time management abilities
-
Comfort with Microsoft 365, Canva, Constant Contact, and major social platforms
-
Discretion and sound judgment with confidential and sensitive information
-
Knowledge of AODA and inclusive communication principles
-
Experience in developmental services, healthcare, or non-profit sector is a strong asset
Physical & Mental Demands
-
Desk work with extended screen time (6–8 hrs/day)
-
Light lifting and meeting/event setup (up to 20 lbs)
-
Ability to manage multiple deadlines and maintain emotional composure

Occasional off-site travel or after-hours events
