Duties:
- Liaise with directors, managers, employees and outside agencies to ensure seamless information flow and support operational needs
- Run and audit Crystal Reports to ensure cost centre accuracy, validate automatic payments, detect errors, and resolve discrepancies in pay and deduction codes.
- Monitor and verify employee status changes to maintain accuracy in pension eligibility and contribution calculations.
- Identify employees with duplicate ID numbers and recalculate CPP contributions and income tax deductions to ensure accuracy
- Print payroll system cheques in preparation for distribution.
- Generate the bank transmittal for employee direct deposits
- Run payroll system files to generate General Ledger (GL) transactions and ensure accurate transfer of files to the accounting directory for further processin
- Run and distribute biweekly payroll reports, ensuring timely delivery to all relevant stakeholders for review and necessary follow-up.
- Perform regular system backups to ensure data integrity, and assist with the implementation or upgrade of payroll-related systems to enhance operational efficiency.
- Stay current with personnel policies and collective agreements to support compliance and accuracy in payroll administration.
- Audit Pension (HOOPP) activity for variances in earnings and contributions each pay period and make adjustments as required
- Prepare monthly remittances for HOOPP based on payroll reconciliation and reconciliation to the general ledger
- Run and distribute monthly reports to Accounting Clerks, Financial Analysts and Human Resources
- Analyze and reconcile GL payroll liability accounts
- Prepare Journal Entries for employer benefits, grievances and salary continuance accruals
- Work with departments to develop and analyze payroll data related to projects.
- Complete and submit annual member data collection for the pension plan
- Balances T4, T4A’s and T4A-NR for all active and terminated employees of The Royal Ottawa Health Care Group
- Generate and transmit Revenue Canada XML files
- Generate file to pay out banked overtime and holidays and perform other fiscal yearend tasks
- Prepare fiscal accruals for maternity leave top ups, comp time etc
- Works in a manner that is in compliance with staff and patient/client safety practices, policies and procedures of the ROHCG
- Ensure work environment that is conducive to the ROHCG Respectful Workplace Policy
- Other duties as assigned
Qualifications:
- Undergraduate degree in a related program required (accounting/business program)
- Payroll Compliance Practitioner (PCP) designation preferred; candidates pursuing PCP may be considered.
- Minimum of three years of current related payroll experience in a computerized payroll environment.
- Strong organizational, time management, and problem-solving skills, with the ability to prioritize tasks effectively.
- Good communication and interpersonal skills to build positive working relationships across teams.
- Adaptable and flexible, able to work under pressure and meet tight deadlines in a fast-paced environment
- Demonstrates discretion and professionalism in handling confidential and sensitive information.
- Committed to collaboration and fostering a strong team environment.
- Proactive in identifying opportunities for process improvement and recommending changes.
- English level A- is mandatory in oral expression, oral comprehension, reading comprehension and written expression. Bilingual (French/English) is considered an asset.
Salary Range:
38.11 to 42.37 per hour
