Waypoint Centre for Mental Health Care is a 315-bed academic and teaching hospital that provides specialized mental health, addiction and geriatric care. Located on the shores of Georgian Bay, we serve some of the most complex and disadvantaged individuals in Ontario and are the sole provider of high-secure forensic mental health services in the province. The Manager of Outpatient Services is currently seeking a Full time Administrative Assistant. The purpose of this position is to provide administrative support/secretarial services to the department. Please Note: This position offers a hybrid work environment consisting of in-office and remote work. Office location is 952 Jones Road, Midland ON.
KEY ACCOUNTABILITIES:
- Support teams and clients through booking client appointments, coordinating virtual care appointments, managing Physician schedules, taking and responding to calls or inquiries, ordering supplies and equipment, preparing and responding to program faxes and emails, etc.
- Prepare pay and attendance related records; liaison with Financial Services with reconciling absences supporting the budget process through data entry; invoicing, and preparing and processing completed travel/expense claims.
- Collect and collate information, as required and/or directed, to compose correspondence and/or prepare reports/presentations/spreadsheets/ graphs/special projects in response to requests from management, external community partners, etc., using various software applications (Microsoft Office Suite, etc.).
- Collaborate with community partners, clients, families, and provide direct customer service and administrative support
- Take and process minutes and provide meeting coordination
- Participate in projects or work groups/committees, as appropriate
- Perform all work at all times in compliance with all hospital policies and procedures and legislation (Occupational Health &Safety Act, Fire Code, WHMIS, etc.) relevant to health and safety, security (including relational/therapeutic security) and potential risk hazards, and in particular, “duties of the worker” as defined in Section 28 of the OH &S Act.
REQUIREMENTS/QUALIFICATIONS:
- Post-secondary education in an office administrative program or related field
- Three to five years of recent administrative experience in a fast-paced medical environment, preferably within a hospital setting.
- Knowledge of the programs or department's roles, administrative functions, objectives, and activities to effectively manage communication.
- Proven advanced level computer software experience including proficiency in Microsoft suite and Meditech
- General knowledge of budgetary practices and processes
- Results oriented work ethic to work independently and undertake tasks needed to accomplish work objectives and deliver quality, consistent and timely results
- Demonstrated leadership, conflict resolution, interpersonal and organizational skills
- Proven written and verbal communication skills
- Proven ability to adapt readily to change
- Models and promotes core ethical practice, Waypoint Values, and reflects an optimistic and positive attitude
- Preference for proficiency in French/English language skills
