Position Title
Lead Testing Services Assistant
Position Summary
The Lead Testing Services Assistant is responsible for providing guidance to the Testing Services Assistants and Exam Invigilators and acts as the supervisor in the absence of the Testing Services Coordinator. They contribute to the efficient operation of Testing Services, managing a wide variety of activities including entrance testing, accommodated testing, ad-hoc internal testing, and testing services for external clients.
The Lead Testing Services Assistant supervises and oversees the daily operations of Testing Services, ensuring the smooth execution of testing procedures and upholding high service standards. Key responsibilities include managing the efficient operation of testing services, quality control, staff leadership, communication, and promoting continuous professional development. This role also involves reporting daily activities to the Testing Service Coordinator, providing insights for process improvements, and supporting efforts to enhance service quality. Through these initiatives, the position fosters effective collaboration with students, faculty, and external stakeholders while ensuring a reliable and efficient testing environment.
Position Responsibilities
Service Delivery
- Oversee daily activities and procedures for the Testing Services ensuring all resources are in place to proactively meet the needs of learners.
- Administration of the test booking & registration portals according to the direction of the Testing Services Coordinator (ex, CW, RB, Meazure Learning, CAEC, Pearson Vue, LibWizard for Make up test) including staff account.
- Provides oversight of preparation and delivery of testing for external and internal exams.
- Provides initial troubleshooting for Testing Services and NOVA Chemicals Learning Commons (NCLC) technology, including machinery, hardware, and software; transfers unresolved issues to the appropriate internal staff member, department, or external support team for resolution, and reports the status to the Testing Services Coordinator.
- Assists the Testing Services Coordinator with the coordination and the implementation of routine technology updates and the introduction of new technology (hardware and software).
- Reports building maintenance problems.
- Reports technology issues to IT in the absence of the Testing Services Coordinator.
- Investigates, addresses, and reports incidents involving academic or non-academic misconduct to the appropriate department or program.
- Assures compliance with appropriate procedures and security measures for all tests offered through Testing Services.
- Creates and updates Testing Services manual as required.
- Communicates with staff, faculty, internal departments, and outside agencies about Testing Services’ policies and procedures.
- Maintains necessary information resources for external and internal exams.
- Works to resolve student, faculty or customer complaints and concerns and escalates to Testing Services Coordinator as needed.
- Provides emergency support as directed by the Operations Manager in the absence of the Testing Services Coordinator if needed.
Administrative Support
- Provides general administrative support to Testing Services while maintaining confidentiality, accuracy, tact, and respect at all times.
- Manage the generic email, calendar, and phone lines of Testing Services in accordance with institutional guidelines.
- Ensure the regular and customized service hours for the Testing Services are posted and communicated and schedules TS tours.
- Manages, creates, updates, and maintains the Testing Services pages on the Red Deer Polytechnic website and Testing Service SharePoint.
- Provide weekly reports to the Testing Service Coordinator on the team’s operation, including any operational issues, staffing needs, and suggestions for improvements.
- Coordinates, schedules, and facilitates Testing Services team arrangements, including preparing agenda packages, transcribing minutes, and arranging all logistical requirements
- Manages the inventory of department materials and supplies, ensuring adequate supply within pre-approved budget.
- In collaboration with the Administrative Officer, Student Experience, completes eRequests and other onboarding tasks for new Testing Services staff, including ordering name tags and coordinating Sharepoint access.
Testing Leadership
- Leads staff in provision of all testing offered, including accommodated testing, entrance testing, and external testing.
- Under the direction of the Testing Services Coordinator, creates Testing Services schedules.
- Recommends changes to Testing Service Coordinator on staffing levels in accordance with the evolution of the testing services needs.
- Under the direction of the Testing Services Coordinator, provides regular training to employees on loaned equipment and health and safety procedures.
- Uses discretion to override existing policies and procedures when circumstances warrant.
- Communicates frequently with members of the Testing Services team regarding schedules, technology updates and issues, exam booking updates and issues, and events through a variety of communication tools.
- Coordinating the day-to-day operations of Testing Services staff, ensuring efficient workflow, effective communication, and the successful execution of testing procedures.
- Provides back-up and emergency coverage for Testing Services Assistants and Exam Invigilators as needed.
Continuous Growth and Acquisition of New Skills

Actively participates in training and professional development activities as they become available to stay abreast of testing practices and standards.

Seeks learning opportunities from other staff (e.g., Peer mentoring) to increase knowledge of Division of Student Experience and RDP services and to provide initial support and triage to students, faculty and staff.

Regularly familiarizing oneself with policy and procedures to meet user needs expediently and accurately without misdirection.
Required Qualifications
-
Two (2) years of post-secondary training, completion of a community college certificate. including trades apprenticeships or equivalent; Business or Administration related preferred.

2–3 years of experience in testing services operations or administrative roles within an educational setting.

Proven experience supervising small teams and providing staff training.

Exceptional interpersonal and customer service skills with the ability to resolve conflicts diplomatically and professionally.
Preferred Qualifications
Experience
- Familiarity with test portals or online assessment systems is an asset
- Experience handling confidential information and educational technologies in a standardized testing environment
- Experience working with individuals requiring academic accommodations
Technical Skills
- Proficient in Microsoft Office Suite, database systems, and web-based applications
- Basic troubleshooting skills for common hardware and software issues
- Willingness and ability to learn new technologies and apply policy changes proactively
- Experience working with individuals needing academic accommodations is an asset.
- Previous experience working at Red Deer Polytechnic may be considered an asset.
