About the Role
We are seeking a bright, energetic, and detail-oriented Call Coordinator to join our team. This individual will be the first point of contact for visitors and callers, providing a professional and welcoming experience. The ideal candidate has a strong work ethic, takes ownership of their responsibilities, and thrives in a fast-paced environment. They should be highly organized, able to juggle multiple tasks, and work independently while maintaining excellent customer service.

- Lead with a “How may I help you” attitude
- Have excellent phone rapport and aptitude for customer service
- Have strong organizational, administrative and time management skills and are capable of providing support to the office leadership
- Have a strong desire to work in a dynamic environment, and consider yourself to be an upbeat and learning based individual
Key Responsibilities
- Provide a warm and professional greeting to guests and clients
- Answer and direct phone calls with a customer-service mindset
- Manage appointment scheduling and maintain Front Desk & Boardroom/Meeting Room calendars
- Perform clerical duties, including document organization, typing, and filing
- Update listings and manage BrokerBay (showing appointments system)
- Train Realtors on document submission processes
- Issue deposit receipts and assist with office administration
- Support the management team as needed
- Sort and distribute mail and deliveries
- Maintain office cleanliness, stock supplies, and place supply orders
- Report and escalate facility-related issues
- Help promote the brokerage’s value and mission

What We’re Looking For
- Previous experience in a front desk or administrative role preferred
- Real estate experience required
- Familiarity with BrokerBay and MLS is a plus
- Proficiency in Microsoft Office and Google Suite
- Eagerness to learn and adapt to new technology
- Strong customer service skills with a positive, proactive approach
- Ability to multitask and manage priorities in a dynamic environment
- Attention to detail and accuracy in data entry and paperwork
- Excellent verbal and written communication skills
- Professional demeanor and appearance
- Strong work ethic and problem-solving abilities
