McMillan has an exciting opportunity as a Legal Administrative Assistant in our Toronto Trademarks and Intellectual Property Group. As a member of the team, you will play a key role in managing legal and administrative aspects of the practice for a team of legal professionals.
Please note that this role offers a hybrid workweek. Each week will combine both working at home for a few days and working in the office for the balance. Your hybrid schedule will start once you join McMillan!

What You’ll Do
You will be the go-to person for your team who will depend on your guidance and support to keep them organized. You will be involved in a wide variety of administrative tasks, including providing legal administrative support within a busy trademark practice; preparing draft trademark applications and responses to Examiner’s Reports and filing with CIPO; drafting correspondence and other documents; liaising with CIPO regarding filing particulars, approvals, and advertisements; liaising with clients regarding due dates, filing response reminders; providing daily status updates of matters for deadline diarization system; preparing summary reports for clients with respect to the status of trademarks; preparing and filing standard documents including following up with clients (e.g.- assignments, declarations); communicating with clients/foreign associates/CIPO with minimal guidance; generating and preparing monthly bills; processing of foreign agent invoices and sending reminders regarding outstanding accounts; processing online payments on the CIPO website for official filing fees; managing calendars, scheduling client meetings/conference calls, and assisting lawyers to prepare for these meetings.
What You Bring
You have established yourself as a key resource in your successful legal career. Your history includes a Legal Assistant Diploma, coupled with a minimum of five years of experience in an Intellectual Property and Trademarks Setting, strong administrative, organizational, interpersonal and communication skills (oral and written). Flexibility with respect to working occasional overtime on an as-needed basis. You have strong administrative, organizational, and interpersonal skills. You are detail-oriented and can effectively meet deadlines, work well in a team setting, and provide an exceptional level of client service. You embrace evolving technology and have strong skills in Microsoft Word, Excel and PowerPoint. Prior experience with Patricia (or other Trademark databases), Desksite, IntApp and 3E or similar document management, file opening and accounting software required.
