Under the limited supervision of the Campus Administrator, the Campus Operations Coordinator is responsible for the efficient daily operation of the campus operations; assisting in the preparation of budgets, reports, proposals and resolutions; providing for the efficient function and resource needs of the Campus Services, coordinates campus space allocation and planning. The Coordinator, works closely with other college departments, along with the college scheduling team, ensuring the efficient use of space to meet operational requirements for the college. Acting as a point of contact for administrative staff, faculty, instructors, internal departments and external agencies, the Campus Operations Coordinator requires a broad understanding of all departments, educational programs and operational requirements, in order to coordinate daily operations, respond to emergencies, finalize room scheduling of educational programs, as well as problem-solve day-to-day issues.

Functions and Duties

  1. Oversees the Support Staff and, as required, non-regular Support Staff in the Administration office; responsible for scheduling and assigning work, setting expectations and providing direction, making recommendations for hiring and selection, providing input into performance appraisals and performance management, and resolving day-to-day conflicts.

  2. Collaborates with the Campus Planning Facilities Management department and coordinates facilities related projects on the Vernon campus; identifies facilities related priorities on campus and will serve as a point of contact for other department managers and external contractors during facilities related projects on site; provides input to the Campus Administrator and assists in consultation.

  3. Makes recommendations on renovation requirements, furniture refurbishment and replacement; identifies and makes recommendations on potential space utilizations.

  4. In collaboration with the scheduling team and other departments, assists with the management of the Campus classroom and office allocations; coordinates logistics and organizes and schedules conferences, workshops, meetings, etc.; identifies and resolves scheduling conflicts.

  5. Assists with the event management processes, approvals, and logistics of campus events, meetings, and external facility rentals.

  6. Acts as the on-campus liaison for external rental activities such as events and filming. Ensures access to pre-approved locations, times, and activities. Ensures compliance with any conditions as per applicable agreement and/or contract. Alternate hours and days including evenings and weekends may be necessary to meet operational needs such as events and special activities.

  7. Provides administrative support to the Dean and the Campus Administrator in the preparation of confidential and sensitive correspondence, minutes, agendas, documents and reports; maintains filing and record systems including bring-forward systems; schedules appointments, makes travel arrangements, arranges conferences, meetings and internal workshops.

  8. Assists in the preparation of all operating and capital budget submissions for the annual OC budget process.

  9. Prepares and ensures accuracy of invoices, payment processes; and assists with the Okanagan College Foundation accounts for the campus.

  10. Prepares financial information and other statistical information for reports for submission to the post-secondary Ministry, College and other contractors. Contributes to Development, implements and monitors campus policies and procedures to support the objectives of the campus and the College.

  11. Assists with the Campus Services recruitment and selection processes; prepares posting requests; coordinates selection activity including may sit on or chair selection committees; notifies candidates of the outcome of the hiring process where appropriate; completes reference checks.

  12. Liaises with the managers of other departments as required to address and resolve health & safety concerns on the campus in accordance with Okanagan College policies and procedures; organizes and supervises campus health, safety, and risk management activities as required.

  13. Works closely with the Manager, Security and Emergency Management and other departments as required to address security concerns on campus; coordinates additional security coverage on campus when required.

  14. Assists with the responses to daily and after-hour emergency facility situations, ensuring that appropriate College personnel and community first-responders are notified, and that the Campus Administrator is consulted and apprised as appropriate in the circumstances.

  15. Supervises cashier sessions within the Vernon campus; ensures cashiering procedures are adhered to; reviews and; completes DSBs, provides written explanation of any variances that occur. Provides coverage to Campus Operations Coordinators at other sites.

  16. Coordinates and assists in the development and preparing service materials; coordinates campus messaging that may impact the campus in collaboration with College Relations; and any other relevant department.

  17. Participates in College-wide committees and various ad hoc committees, teams and task forces and may chair committees as directed by the Campus Administrator.

  18. Performs other duties as assigned

Education and Experience

Two years post-secondary education in Office Administration or relevant field required. A minimum of four years related experience required including two years supervisory or office management experience; previous experience in office administration and/or facilities event management preferred. Must hold a valid B.C. Driver’s License..

  • Proven project management, project coordination skills and excellent organizational, as well as, budgeting and financial

  • Management skills, excellent customer service and/or hospitality skills

  • Creative problem solver

  • Excellent computer skills with proficiency using Microsoft Office and complex databases, as well as the ability to generate and analyze reports

  • Able to travel and accommodate a flexible work schedule

Schedule

Typical hours of work are 8:30 a.m. to 4:30 p.m., Monday to Friday. However, due to the nature of this position, flexibility is required. Alternate hours and days, including evenings and weekends, may be necessary to meet operational needs such as events and special activities.

Annual Salary/Hourly Rate

$63,827 - $72,927
