The Coordinator, Secretariat plays a role in ensuring the smooth and effective operations of the Regulatory Department. This position provides administrative, logistical, and communication support, with a primary focus on processes related to Registration appeals and general assistance to the Office of the Registrar.

This position reports to the Associate Director, Secretariat.

CPA Alberta has offices in Edmonton and Calgary and provides hybrid Telecommuting opportunities (working from home a maximum of 3 days a week).

What You Bring

  • Minimum two years’ administrative experience in a professional environment.
  • Post-secondary education would be an asset.
  • Proficiency working with Microsoft Office software, including Word, Excel, Outlook and Teams.
  • Strong verbal and written communication skills.
  • Excellent time management and organizational skills.
  • Ability to use sound judgement to identify and resolve problems as they arise.
  • Results driven with the ability to manage tasks effectively in an environment of competing priorities.
  • Knowledge of SharePoint and PowerPoint is an asset.
  • Previous experience with database maintenance would be an asset.

What You Will Be Doing

  • Monitor and track the status of Registration Appeals, ensuring timely follow-up and maintaining accurate records and correspondence.
  • Compile and organize supporting documentation for appeal records, including educational information and practical experience details.
  • Provide cross-functional administrative support to teams within the Office of the Registrar during peak periods or staff absences, including assisting with continuing professional development reporting, firm renewals, and compliance audits.
  • Coordinate and schedule meetings (virtual and in-person), including logistical arrangements and travel planning as required.
  • Assist in maintaining and updating organizational policies and procedures relevant to the Regulatory departments.
  • Track content and deadlines for the Regulatory newsletter.
  • Support document retention efforts in collaboration with the Associate Director, Secretariat.
  • Perform additional duties as assigned by the Associate Director, Secretariat.
  • Provide administrative support and vacation coverage for the Regulatory team.
  • Assist with office reception coverage as required.
