About the role

The role of Executive Assistant is to provide administrative support to the Vice President Finance, CFO & Head of B2B Relations as well as to the members of his team.

Your Key Responsibilities Your responsibilities include, but not limited to:

  • Manage calendar, meetings and business travels.
  • Manage expense accounts as well as Expense and Automobile Policies.
  • Create purchase orders and manage related invoicing.
  • Create and manage supplier accounts.
  • Manage the automobile fleet and related matters for executive members.
  • Be the contact person for corporate insurance (e.g.: purchase orders, invoicing and payments, etc.).
  • Be the point of contact for external and/or internal audits involving finance.
  • Write, translate documents and create PowerPoint presentations.

Essential Requirements What you’ll bring to the role :

  • Minimum 7 years' experience as an executive assistant.
  • Knowledge of Microsoft suite (advanced intermediate).
  • Fluency in oral and written French is mandatory. Due to the nature of our operations, oral and written fluency in English is required for regular communication with customers, partners, and/or colleagues, whether in Canada or internationally.
  • Interpersonal skills, dynamism, positive energy and a good sense of humor.
  • Versatility, adaptability, organization and prioritization skills, as well as thoroughness, attention to detail and efficiency.
  • Sense of initiative and autonomy, proactive and able to work on several projects at once.
  • Clear, concise communication and a good ability to synthesize information.
  • Promotes teamwork and mutual collaboration.
  • Sense of discretion and confidentiality.

Desirable Requirements

  • Experience as an executive assistant in a large company and/or at a national and/or global level, an important asset.
  • Knowledge of SAP, an asset.
