POSITION/TITLE: CAS Administrative Assistant
NATURE & SCOPE OF WORK:
Chief Atahm School is seeking an Administrative Assistant to work under the direction of the Vice Principal or designate, the Administrative Assistant is responsible for reception and general clerical duties for the Adams Lake Indian Band Education Department.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Performs all duties and responsibilities in accordance with Adams Lake Indian Band policies and procedures;
- Provides good public relations and greeting services to the public and staff;
- Answers the phone lines, screening telephone calls, answering inquiries, forwarding telephone calls to appropriate personnel and taking messages;
- Greets visitors, ascertains the nature of their business and refers visitors to appropriate department and staff;
- Processes incoming and outgoing mail daily, faxes and notices;
- Photocopies and distributes documents for distribution appropriately;
- Develops basic correspondence, e.g. letters, memos, etc. as directed;
- Assists SLC Instructor in preparing tutoring materials, lesson plans and reports;
- Assists in organizing field trips and evening activities;
- Maintains an up-to-date ALIB mailing and contact list;
- Maintains and orders an adequate inventory of office supplies;
- Assists with filing when required;
- Assists students with technical support, e.g. computer software, resume writing;
- Maintains the reception area in a clean and professional manner;
- Maintains the coffee services for quests;
- Maintains workstation in a clean, safe and orderly manner;
- Performs other related duties and responsibilities as assigned.
QUALIFICATIONS, KNOWLEDGE, AND SKILLS
- Minimum of grade 12 or equivalent
- Secretarial/Office Administration Certificate or equivalent preferred
- Experience with general office procedures
- Knowledge of computers and usage
- Ability and experience operating basic office equipment
- Good verbal and written communication skills
- Strong interpersonal skills to deal effectively with all levels of the company and external contacts
- Diplomacy, tact and confidentiality in dealing with a variety of people and information
- Reliability and dependability
- Self motivated and initiative are mandatory because of general supervision
- Ability to work in a team orientated environment
- Flexibility is a must to adapt to changing work priorities
- Continuous learning
SUPERVISORY RESPONSIBILITIES
N/A
PHYSICAL DEMANDS
Those normally associated with a typical office environment. Extended periods of sitting or standing. Continuous visual concentration on computer/laptop and/or cell phone. Occasional outdoor environment.
WORKING CONDITIONS
Work is performed in a typical office environment, with some travel required.
EQUIPMENT AND SOFTWARE
MS Office Suite – Word, Outlook, Excel. As well as Basecamp and Zoom.
OTHER REQUIREMENTS
Emergency Child Safe/First Aid certificate
BONE FIDE JOB REQUIREMENTS
Current Criminal Record Check with vulnerable sector clearance, with results acceptable to ALIB.
TERMS OF EMPLOYMENT:
Full time permanent position
Wage range: $25.00 - $30.00 per hour
Location: Chief Atahm School 6371 Chief Jules Drive
Hours per week: 60 hours biweekly (max 30 hrs./week), with flexibility in hours/days of work.
