POSITION OVERVIEW

The Key Accounts Operations Coordinator is a crucial team member responsible for managing key account customers and providing vital support to the sales management team. This role involves handling daily tasks such as order processing, shipping updates, customer onboarding, managing custom and FOB orders, and ensuring compliance. With a strong customer-centric approach and exceptional attention to detail, this position also requires innovative thinking and a solid understanding of fundamental supply chain processes. You will work extensively with our ERP system (Sage X3) and CRM platform (Salesforce) to deliver seamless operations.

KEY FUNCTIONS & RESPONSIBILITIES

·      Enter and review key account sales orders accurately in the ERP system (Sage X3)

·      Manage custom projects from purchasing through to receipt at the warehouse, ensuring timely execution

·      Support Sales Managers with customer onboarding by analyzing vendor guides, creating customer profiles in Salesforce, and developing SOPs for the shipping team

·      Maintain clear communication with buyers, assistant buyers, sales reps, sales managers, and warehouse teams regarding purchase order delays, allocation, and shipping concerns

·      Investigate and resolve invoice disputes and compliance chargebacks efficiently

·      Process product returns and issue credit memos as needed

·      Utilize customer portals to manage item setups, shipping updates, and payment tracking

·      Communicate customer-specific labeling and packaging requirements to the warehouse team to ensure compliance

·      Use Monday.com to manage daily tasks, prioritize workload, and track progress effectively

·      Proactively recommend innovative solutions to improve process efficiency and customer satisfaction

THE EXPERIENCE OF A STRONG CANDIDATE

·      Minimum 2 years of relevant experience in customer service, supply chain, or related fields—or equivalent combination of education and experience

·      Proficient in Microsoft Office Suite (Outlook, Excel, Word) with strong computer literacy

·      Experience working with Sage X3 ERP and Salesforce CRM systems is highly advantageous

·      Demonstrated ability to handle difficult customer interactions and manage escalations professionally

·      Excellent written and verbal communication skills in English

·      Strong organizational skills with the ability to prioritize tasks, work proactively, and perform well independently

·      Analytical mindset with high attention to detail; capable of assessing feedback and generating actionable solutions

·      Collaborative team player with strong interpersonal skills and a professional attitude

·      Adaptable and eager to grow and develop skills across various aspects of the role

·      Comfortable working with diverse stakeholders across departments and external partners

·      Commitment to accuracy, quality, and operational excellence
