About the role

The Strategic Policy, Planning & Quality (SPPQ) Admin II - SPPQ is primarily responsible for providing administrative support and coordination within the SPPQ team. The individual plays a pivotal role in supporting key streams of work and will work collaboratively across the team.

QUALIFICATIONS

  • Persons of First Nations ancestry will be given preference (OHRC, Part II, Special Employment)
  • Experience working with First Nations people, communities and leadership is an asset.
  • Ability to communicate in one of the First Nations dialects in the Sioux Lookout Zone is an asset.
  • Minimum High School Diploma or post-secondary education in a health services field or equivalent work experience deemed acceptable by SLFNHA.
  • Experience of 1 to 3 years in administrative/executive/secretary support is an asset.
  • Excellent time management, communication, organization and planning skills; detail oriented.
  • Strong organizational skills and attention to detail, with the ability to prioritize tasks and handle multiple assignments simultaneously.
  • Excellent verbal and written communication skills, with the ability to interact professionally with individuals at all levels of the organization.
  • Proficient computer skills (Calendar management Outlook, Word, Excel, PowerPoint, SharePoint, Teams, Canva, Sage, UKG)
  • Strong problem-solving skills and the ability to work independently with, at times, minimal supervision.
  • Discretion and confidentiality in handling sensitive information.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Strong interpersonal skills and the ability to work well in a team environment.
  • Must be willing to travel and be flexible with work hours.
  • Valid Ontario G driver’s license is an asset.
  • The ability to perform the requirements of the position on a regular basis.

ROLES AND RESPONSIBILITIES

  • Assist in routine administrative tasks such as managing calendars, scheduling appointments, arranging meetings, preparing documents, drafting correspondence, and maintaining filing systems.
  • Plan and coordinate the program activities of the SPPQ and key streams of work
  • Preparing meeting arrangements, agenda, supporting documents and meeting minutes
  • Work with SLFNHA travel department, in coordinating travel itineraries, including flights, accommodation, and transportation.
  • Preparation and processing travel authorizations, travel preparations and expense claims.
  • Assist with purchasing, purchase orders and inventory.
  • Coordinate logistics for meetings, conferences, and events, including venue bookings, catering, and equipment setup.
  • Maintain and update databases, records, and confidential files.
  • Assist in office management duties, including ordering supplies, stocking supply cupboards (including photocopier paper boxes), and maintaining office equipment. Participate in team meetings.
  • Adhere to confidentiality requirements/ policies
  • Other duties as assigned.
