About the role

Position Overview/Summary:

We are seeking an Executive Coordinator who is highly organized and professional to provide executive support and serve as a key liaison between executive leaders and various constituents.

Reporting to the Vice President of Community, Hospice and Long-term Care and Vice President of Ambulatory and Digital Services, the Executive Coordinator will ensure that executive leaders receive confidential and timely assistance, enabling them to focus on driving the organization's strategic initiatives and achieving operational excellence.

Compensation:

Responsibilities:

  • Coordinate and prepare meeting agendas, briefing materials, presentations, and take minutes during meetings.
  • Assist with special projects and initiatives, track progress, and ensure deadlines are met.
  • Manage Vice Presidents' calendars, schedule meetings, appointments, and events, avoiding conflicts and maximizing time efficiency.
  • Handle sensitive relationships and information via phone, email, and other communication channels with professionalism, diplomacy, and discretion.
  • Draft, review, and manage documents and reports while maintaining confidentiality.
  • Coordinate organizational events, conferences, and executive off-sites, handling logistics.
  • Act as a key point of contact among executives, staff, clients, and external partners.
  • Support executive team in completing time-off and attendance functions within the corporate Human Resources Information System (HRIS).
  • Assist with onboarding, orientation, and credentialing of medical staff members.
  • Contribute to efficient resource management by promoting digitized communication, recycling, and energy conservation.
  • Foster a culture of service excellence by role modeling organizational values.
  • Oversee and resolve inquiries from individuals and their families, following complaint escalation policies.
  • Support quality improvement initiatives, including the implementation of annual quality improvement plans.
  • Promote a just safety culture through timely reporting and participation in safety incident reviews.
  • Encourage service excellence by fostering relationships with the people served, external partners, vendors, volunteers, and colleagues.
  • Participate in committees and engagement forums as required.
  • Collaborate with other Executive Coordinators and the Office of the CEO and President to cover time-off among the executive coordination team.

  • Ability to work effectively and demonstrates composure under pressure while meeting multiple and competing deadlines.
  • Ability to discern relevant information, apply critical thinking and facilitate the resolution of challenging situations using diplomacy, tact, and persuasion.
  • Ability to establish effective working relationships.
  • Demonstrates high level of initiative, self-direction, flexibility, and ability to adapt to changing situations.

Required Knowledge and Experience:

  • Minimum 4 years of experience working as an Executive Coordinator and supporting senior leaders.
  • Excellent verbal and written communication skills and ability to communicate effectively at all levels of organization.
  • An individual that can work in a fast-paced environment and with high degree of efficiency.
  • A team player with strong interpersonal skills and ability to interact with team members across the organization.
  • Experience with influencing and resolving conflict.
  • Knowledge of applicable legislation and regulations (e.g., Occupational Health and Safety Act, Employment standards Act, Fixing Long-Term Care Act, Health Care Consent Act, etc.) preferred.

Required Professional Designation/Certificate:

  • Proficiency in office software applications such as Microsoft Office suite
  • Minimum bachelor's degree or equivalent in business management, office management
