SPECIALIST, EVENTS AND EXPERIENTIAL MARKETING (15-MONTH CONTRACT)

We are the largest private supporter of high-performance sport in Canada, and we are responsible for all aspects of Canada’s involvement in the Olympic Movement, including the participation in the Olympic and Pan American Games.
Reporting to the Senior Manager, Events and Experiential Marketing, the Specialist, Events and Experiential Marketing is responsible for assisting with the planning and execution of the Canadian Olympic Committee’s internal and external events/initiatives as outlined in the strategic and business plans. The primary focus of this position is to offer events-as-a-service support to the organization as a member of the Events and Experiential Marketing Function on the Brand & Digital Marketing Team.
LOCATION
This is a 15-month contract position, carrying through the duration of the Milano Cortina 2026 Games. This position will be located in the COC office in Toronto, ON at 250 Yonge St. Suite 3000 or in Montreal, QC, at 500 René-Lévesque Boulevard West. The COC offers a hybrid work model that allows for up to two days of remote work each week.
CORE RESPONSIBILITIES AND PRIORITIES
- Provide event planning and delivery for corporate, Games & sport system and Brand & Marketing events including but not limited to:
- Corporate events (e.g., COC Board Meetings, COC Board Retreat, Marketing Partner events & initiatives, COC Staff Retreat & employee engagement events)
- Games & Sport System events (e.g., Olympic & Pan-Am Preparation Seminars, COC Session Meetings)
- Brand & Marketing events (e.g., Canada Olympic House, Team Canada FanFest)
- Manage event logistics, such as:
- Development and management of event documents including run of show, technical run sheets, and critical paths
- Lead the development of RFPs and venue and hotel contracts/documents
- Support in guest management including registration, booking travel & transportation, and rooming lists
- Support in vendor relationships (venue management, audio visual, etc.,)
- Selection and management of Food & Beverage services
- Sourcing and selecting décor and event look & feel
- Adhere to timelines/deadlines as established for each project
- Assist in tracking event expenses including AV, food & beverage, and other event elements
- Assist with the design, production, delivery and distribution of digital and print materials
- Arrange all shipping of event supplies and materials to/from event sites
- Assist with the development of post-event evaluation and reporting
- Assist with supplier & partner follow ups as required and arrange payment
- Administer the current inventory of COC event signage and branding materials; order new signage and materials as required
- Work with and support colleagues on inter-departmental projects
- Other duties, as assigned
QUALIFICATIONS AND CRITICAL SKILLS
Education and Experience
- University Degree, College Diploma or relevant experience in a related field (i.e. Marketing, Event Management, Communications, etc.)
- 2-4 years related experience in special event planning and execution
- Experience working with high profile senior executives, representatives from the sport and corporate communities, volunteer committees, day/night-of volunteers, suppliers, and vendors
Skills and Abilities
- Self-starter, motivated and takes initiative
- Strong attention to detail, administrative and organizational skills
- Excellent verbal and written communication skills
- Excellent interpersonal skills and confidence in dealing with timely or sensitive issues
- Demonstrated ability to prioritize and manage multiple tasks simultaneously with diverse requirements and varying deadlines
- Ability to work well under pressure
- Sound judgement in determining appropriate course of action quickly
- Ability to work positively in a team environment
- Aptitude for dealing professionally with a broad cross-section of stakeholders and representatives
- A creative flair and dedication to the look-and-feel of all event elements
- Capacity to adhere to budgets and deliver projects on/under budget; ability to maintain financial control over events
- Flexibility and ability to travel and work late hours and weekends in the periods leading up to events and in event execution
- Excellent Microsoft Office skills (Word, Excel, PowerPoint)
- Bilingualism (English and French) is an asset
