Job Title: Sales Coordinator, Education Sales
Reports to: Senior Sales Manager, Education Sales (APAC)
Position Overview:
The sales coordinator will provide essential support for the coordination and administration of education programs at designated Merrithew (Host and Licensed) Training Centers. This includes assisting Managers with business development, market research, and lead generation, while ensuring flawless execution of day-to-day facility services and activities to drive revenue growth for Merrithew® education sales. The role also involves managing the pre-, during, and post-course execution of education programs. Strong organizational skills, attention to detail, and the ability to handle both administrative and customer service tasks are key for success in this hybrid position.
Key Responsibilities:
Hosting Coordination:
Pre-Hosting:
- Prepare and manage hosting agreements and Instructor Trainer (IT) agreements, ensuring all necessary documentation is completed and accurate.
- Create and update orders in the Event Management System (EMS), and ensure timely invoicing for deposits, final payments, exams, makeups, and private sessions.
- Coordinate travel logistics for ITs, including booking flights, arranging accommodations, coordinating ground transportation, and assisting with visa applications.
- Ensure that all pre-hosting paperwork is sent to Training Sites and ITs, and keep all stakeholders informed about scheduling and logistics.
During Hosting:
- Provide continuous support to ITs during their assignments at Training Sites, ensuring all needs are met and offering assistance as required.
- Maintain strong communication with Training Sites to address any issues during the hosting period.
Post-Hosting:
- Collect and process documentation related to exams, makeups, and private sessions, ensuring accurate submission to Programming for review.
- Follow up with Host Sites to collect all missing documents, ensuring that completion letters are issued promptly.
- Review and submit IT invoices for processing in accounting, ensuring accuracy and proper documentation.
Customer Service & Client Communication:
- Serve as the primary point of contact for Merrithew Training Centers, ensuring their needs are met with exceptional customer service.
- Communicate regularly with facility owners and operators to understand and meet the needs of students, ensuring smooth operations.
- Proactively engage with Merrithew Training Centers on ongoing and future training requirements, providing timely updates and solutions.
- Collaborate with Marketing, Communications, and Programming teams to ensure that hosting clients and students receive necessary support.
- Respond to general inquiries from both internal and external stakeholders, resolving any issues or concerns promptly.
Sales Support & Business Development:
- Assist with market research, lead generation, and the initial qualification of leads, ensuring that pre-qualified leads are passed to the sales managers for designated territories.
- Support the onboarding and training of new Host Centers, working closely with the Marketing team to promote these centers across multiple platforms (email, social media, blogs, etc.).
- Generate and maintain detailed sales reports, providing data to Managers to inform decision-making.
- Assist in customer meetings, offering support where necessary (including translation), and ensuring customer satisfaction by promptly addressing inquiries.
Administrative & Financial Support:
- Maintain accurate student lists, process completion letters, and oversee exam coordination and scheduling.
- Regularly update internal trackers to ensure that data is accurate and cross-referenced for reporting purposes.
- Review and process IT invoices, ensuring all necessary approvals are obtained and properly documented.
- Assist with course scheduling, IT assignments, and other administrative tasks as needed.
Skills and Qualifications
- 2+ years sales support, coordination, and customer service experience
- Post-Secondary Education in Business/Office Administration is an asset
- Additional Asian Language is a strong asset
- Team player
- Superior attention to detail to ensure quality of work
- Critical- ability to multi-task and respond to shifting priorities
- Time-management, prioritization and organizational skills
- Strong written and verbal communication skills
- Advanced user of Excel and other Windows office software; skilled user for CRM software
