Material Coordinator

Number of positions: 1 Job Location: Surrey-Store 1

Employment type: Permanent Region: Lower Mainland

Hours of work: Full-time (37.5 hrs/wk) Flexible Work Role: Hybrid

Annual salary: $ 58,100.00 - 63,800.00

What you'll do

  • Supports material inventory counts by: providing guidance to applicable staff on pre-inventory count preparations to

ensure proper handling and accounting methods of materials; preparing various reports (such as stock on hand, values,

variances, targets, etc.) and count sheets for applicable facilities; entering and adjusting inventory count information in

supply chain management system; and making necessary travel arrangements.

  • Performs annual wall to wall material inventory counts at various facilities. Works with management and applicable staff to

develop annual inventory count schedule for applicable facilities. Enters inventory count information into applicable supply

chain management system.

  • Reconciles count and recount information, identifies and investigates post-inventory count variances by facility, region and

organization-wide to determine trends, sources of error and initiates corrective actions (such as processing variances by

completing adjustments forms to appropriate FAAP approval limit). Provides guidance to management and applicable staff

on how to minimize variances for future material inventory counts.

  • Performs stock out adjustments for all facilities throughout the province. Prepares monthly financial reporting on stock out

variances for management.

  • Supports material procurement from known or sourced suppliers of low complexity by: reviewing material requirements

with applicable teams; setting up material lists for stock items; preparing and issuing requests for quotes; identifying

suppliers meeting specified requirements and lead time based on award criteria; confirming pricing and terms of delivery

with suppliers; and preparing and processing material requests/requisitions in supply chain management system.

  • Provides expediting support to applicable teams by: contacting suppliers to determine if new delivery date for materials

and equipment can be met due to change in need dates; monitoring lead times of purchased parts by suppliers and

informing management when lead times move out of acceptable time frames; tracking and monitoring delivery of materials

to ensure on-time delivery; identifying shipping options with guidance from applicable staff for critical deliveries; maintaining

communications with suppliers, internal customers and management of late deliveries and potential quality problems; and

resolving minor issues and referring more complex issues to management or the applicable staff.

  • Maintains expediting records by entering delivery performance, on-time delivery and vendor contact information into

supply management system. Maintains expediting documentation in applicable systems/applications. Provides technical

advice and guidance to other staff on the use and interpretation of information contained in the confirmation panel of supply

chain management system.

  • Prepares a variety of regular and adhoc reports on materials management for management and applicable teams (such

as price of supplies, variances, delivery accuracy, on time delivery and scheduling report for Line Rooms). Develops

background reports on supplier reliability on rush deliveries. Identifies trends in supplier performance, demand requirements

for teams, develops supporting information, and provides applicable staff with recommendations to improve supplier

performance.

  • Performs duties of a minor nature related to the above duties that do not affect the rating of the job.

What you bring

  • High school graduation; plus two (2) years of experience as an Inventory Control Examiner or in a similar role involved in

materials management or two (2) years of demonstrated supply chain, inventory/purchasing experience.

OR

  • Certificate in Operations Management (Materials Management Option) from an Institute of Technology or in a related field

plus one (1) year of experience as an Inventory Control Examiner or in a similar role involved in materials management.

  • Experience using in-house Data Validation Report considered an asset.
