About The Role As an Office Coordinator reporting to the Global Head of Talent & Culture, you will keep the Montréal office organized by supporting the needs of the entire office staff. You will plan and execute a wide range of duties related to internal company events, executive support, and day-to-day office life. By doing this, you will be an essential part of creating an engaging, professional, and efficient workplace for employees.

More specifically, in conjunction with the Talent & Culture team, you will be responsible for:

General administration, reception and office management

  • Support the CEO with tasks like managing expenses, organizing personalized client gifts, and coordinating logistics with care.
  • Place monthly orders for food, snacks, and office supplies
  • Spot check and maintain conference rooms and shared spaces to ensure cleanliness, readiness, and functionality
  • Order, receive and maintain lunch/breakfast catering (when applicable), and ensure setup is timely and orderly
  • Track inventory and liaise with vendors for timely replenishment of supplies and amenities
  • Provide logistical support for internal events and team activities (planning, bookings, setup)
  • Greeting visitors to the office, ensuring a welcoming and professional first impression
  • Coordinating mail and courier deliveries, managing outgoing and incoming shipments
  • Liaise with facility management vendors, including cleaning, catering, building management, and security services
  • Assist with onboarding logistics for new hires (access cards, seating, welcome kits, etc.)
  • Act as point of contact for office-related employee requests and support

Primary Qualifications & Skills

  • Proactive and takes ownership of responsibilities quickly
  • Diligent, process-driven, and resourceful, with an eye for detail and pride in delivering quality support
  • Able to manage and prioritize multiple responsibilities in a dynamic environment
  • Team player with excellent interpersonal and communication skills
  • Able to thoughtfully take direction and constructive feedback, while also working independently
  • Proficient in Microsoft Office Suite (Outlook, Teams, Word, Excel,) and other office tools
  • Discreet, trustworthy, and professional when handling confidential matters
  • Bilingualism (English/French) is required
