Job Description
We are seeking a detail-oriented and experienced Finance and Administrative Specialist to join our team. The ideal candidate will have at least three years of experience in administrative and finance roles, combined with strong customer service expertise.
The on-site Finance and Administrative Specialist will be responsible for overseeing the day-to-day financial operations and administrative functions of the organization. The role will also handle office management and support senior leadership in ensuring that operations run smoothly and efficiently.
Responsibility:
Accounting
- Oversee accounts payable and receivable, ensuring accurate and timely transactions
- Handle banking transactions and credit card transactions, including deposits, reconciliations, and financial reporting
- Handle basic financial tasks such as expense reimbursements, invoice processing, billing management, and maintaining financial records.
- Prepare and submit GST and PST filings for the organization, ensuring accuracy and compliance with regulatory deadlines
- Ensure financial compliance with regulatory requirements and internal policies
- Assist with budgets, forecasts, and financial statements to support strategic decision-making
Administrative Operations
- Manage daily administrative tasks, including document management, meeting coordination, and internal communications.
- Manage office vendor relationships, including landlord, cleaners, security services, telephone providers
- Ensure smooth office administration and operational procedures are in place
Qualifications
- Bachelor’s degree in Accounting, Finance, or a related field.
- At least 3 years of full cycle accounting experience.
- Experience working with QuickBooks.
- Thorough knowledge of basic accounting procedures and principles.
- Experience with general ledger functions and the month-end/year-end close process.
- Detail-oriented, highly responsible, and capable of handling multiple tasks efficiently.
- Excellent communication, teamwork, and problem-solving skills.
- Proficiency in Microsoft Office applications (Excel, Word, PowerPoint). Experience with financial software is an asset.
- Fluency in both English and another language (e.g., Mandarin) is an advantage.

Pay: $22.00-$25.00 per hour
