Job Purpose Responsible to maintain all compliance-related documentation between the company and its suppliers. This role will ensure that all supplier documents, certifications, and contracts meet internal standards, legal requirements, and industry regulations. Consistent execution of technical documents for both internal and external customers.
Duties And Responsibilities The associate’s primary functions and responsibilities are as follows:
- Maintain accurate and up-to-date records of supplier compliance documentation, including certifications, audit reports and regulatory and compliance filings.
- Review and verify supplier documentation with company policies, industry standards, and regulatory requirements.
- Assure adherence to audit for suppliers and maintenance of the approved supplier list.
- Accurately input and update supplier compliance data in the document management system Ourrecord and ERP system.
- Assist with onboarding of new supplier and organizing required compliance documentation for raw materials.
- Evaluate potential new sources of supply and selecting appropriate suppliers based on supplier assessment, quality performance, risk profile, and business or customer requirements.
- Support internal and external audits by ensuring all required documentation is organized and readily available. Respond to request for supplier compliance information during audits.
- Collaborate with Quality, Supply Chain departments to ensure supplier documentation meets compliance standards and timelines.
- Follow up with supplier to ensure timely receipt of updated or missing documentation, to ensure compliance with latest BRC guidelines.
- Assure execution of the supplier-initiated change process is timely for processing of change impacts and coordination with internal related stakeholder to manage any changes impacts.
- Prepare and maintain regular compliance reports to monitor the supplier documentation and ensure Our Records up to date.
- Perform other assigned duties.
- Follow Health and Safety rules and regulations.
- Must follow Good Manufacturing Practices, Food Safety, and Food Defense guidelines.
- Comply with all Company policies and procedures.
Qualifications
- Enrolled in Bachelor’s or Master’s degree in food science, chemistry, biological, regulatory or other quantitative discipline.
- At least two (2) years of experience in documentation management, supplier compliance or a related role. Experience in food & beverage industry, supply chain or quality assurance is preferred.
- Hands-on experience working in a GMP environment.
- Familiarity with raw materials specification and have experience on BRC guidelines regarding raw materials compliance.
- Work effectively with cross-functional teams to ensure compliance goals are met.
- Ability to utilize the applications for Microsoft Office for support, reporting and documentation.
- Prioritize tasks to meet deadlines and compliance timelines.
- Ability to work around problems and come up with creative solutions.
- Orientation towards a continuous improvement culture.
- Ability to work in a fast-paced environment.
