As the Administrative Assistant , you will have the opportunity to join one of Canada’s fastest-growing organizations, with a unique opportunity to truly define your role as we scale. As a starting point, though, you will be responsible for the day-to-day and strategic support of the Chief Executive Officer (CEO) or their designate while also being a key contributor to the wider Jarvis team.
Job Responsibilities:
- Under the direction of the CEO or their designate, manage the calendars and inboxes of our CEO, including booking meetings, making travel arrangements, etc.
- Be a strategic partner to the CEO by building relationships with client EA’s, working with urgency to secure meetings for executives.
- Comfort proposing a change when you think something can be done more effectively or efficiently
- Support executive team with administrative tasks such as expenses, accounts receivable, receipts, document preparation, etc.
- Self-directed, self-motivated and can Google, YouTube and research your way to answers you don’t know (and are willing to ask for specific help when you need it)
- Other duties as required
What You Bring:
- 2+ years experience working on an administrative role or equivalent
- Detail-oriented individual with a track record of strong organizational skills and thoroughness
- Excellent verbal and written communication skills
- Proven tech-savviness, adopter and lover of technology, experience working with Microsoft Office, ChatGPT, Gemini, Perplexity
- Ability to anticipate the needs of executives and take initiative, understanding ambiguity
- Professional approach, especially when dealing with confidential information
- People-first approach with the ability to support the team in-office 5 days a week
- Nice-to-haves:
- Experience in event planning
- Verbal and written communication skills in French
