ABOUT THE ROLE

We are seeking a detail-oriented and highly organized Associate, Marketing & Operations to oversee core business functions supporting our North American operations. This role combines administrative, HR, financial, and compliance responsibilities to ensure smooth daily operations across Canada and the United States.

This position reports to the Director of Marketing & Operations, North America, but you’ll also work closely with sales, project delivery, and customer support. This is a great opportunity to join a small team working at the forefront of museum technology.

KEY RESPONSIBILITIES

Operations

  • Perform a range of general office administrative duties, including answering phones, handling incoming and outgoing mail, and managing office supply inventory.
  • Process and monitor accounts receivable and payable in alignment with established financial policies and procedures, including invoicing and collections.
  • Maintain and update customer data within the ERP system.
  • Ensure compliance with applicable tax and legal regulations across various jurisdictions in Canada and the United States.
  • Act as the HR liaison for approximately 35 employees across ALM, Inc. and ALM Canada, Inc., supporting both entities with consistent HR practices.
  • Provide administrative support for HR functions such as onboarding, offboarding, payroll, and benefits administration.
  • Assist with ongoing ISO27001 information security initiatives, including documentation management and coordination of internal audits.

Marketing

  • Perform accurate data entry and ongoing maintenance in the CRM system and marketing intelligence platform.
  • Provide logistical and administrative support for marketing events, including industry trade shows, conferences, and the company’s annual user conference.

Please note that you will be an essential team lead during the 2026 office relocation project. There are also additional opportunities to participate in marketing projects, if desired!

Qualifications

  • 5+ years of experience in business operations, office management, and/or HR administration.
  • Fundamental understanding of accounting processes, including invoicing, collections, and ERP systems.
  • Experience with Younium, Microsoft Dynamics, or similar tools a plus.
  • Knowledge of cross-border employment practices (US/Canada) preferred.
  • Proficiency with HRIS platforms such as TriNet or similar.
  • Excellent organizational and communication skills.
  • Ability to work independently while collaborating across departments.
