Reporting to the Service Manager, the Warranty Administrator is responsible for processing warranty claims, providing customer service, and ensuring that all paperwork is correct and completed appropriately. Responsibilities will include the verification of all criteria as required by the vendor. This is a full-time position and will be also be cross-trained with Service Advisor responsibilities.
Responsibilites
- Ensure compliance with all Occupational Health and Safety Act (OHSA) regulations, as well as the Company’s Health and Safety Policy
- Process warranty claims on a timely basis, ensuring paperwork is complete.
- Provide customer service regarding warranty inquiries and service
- Verify criteria required by the factory or distributor and files/maintains all service and customer records as required by the warrantor.
- Reconcile all warranty receivables with payments through the appropriate accounting schedule. Follow up on payment of outstanding claims.
- Track warranty parts by tagging with repair order number, date of replacement.
- Maintain all service and customer records as required by the warrantor.
- Determine customer requirements in accordance with manufacturer service policy and check warranty eligibility for repairs in the computerized service system.
- Create repair orders in the business system. Process and close repair orders daily.
- Process warranty claims on a timely basis, ensuring paperwork is complete.
- Provide customer service regarding warranty inquiries and service.
- Maintain all service and customer records as required by the warrantor.
- Determine customer requirements in accordance with the manufacturer's service policy and check warranty eligibility for repairs in the computerized service system.
- Create repair orders in the business system. Process and close repair orders daily.
- Cross-trained as Service Advisor – service counter backup.
- Scheduling service appointments.
- Provides customers with complete and accurate written cost estimates and establishes the time required to complete work.
- Prepares orders by describing symptoms, problems, and causes discovered, as well as repairs and services required.
- Obtain customer signature on repair orders.
- Establish the customer's method of payment.
- Obtain credit approvals.
- Check on the progress of repairs and contact customers regarding changes in the estimate or promised time.
- Review and close repair orders.
- Explain completed work and all charges to customers.
- Expected to have a positive attitude and promote a healthy work environment
- Other related duties as assigned by management from time to time.
Basic Qualifications
- High School Diploma or equivalent. College or post-secondary education is preferred.
- Previous experience in Heavy Truck, Automotive or related industry experience preferred.
- Competency in the following areas required; customer service, administrative skills, team building, proficiency with software and computers.
- Strong interpersonal skills and customer focus.
- Excellent written and verbal communication skills
- Warranty Experience is preferred.
- SAP experience is an asset
- Criminal Record Check.
- Valid driver’s license and Drivers Abstract.
