We’re looking for a Front Desk Receptionist to join our Vancouver office. In this role, you’ll be the first point of contact for visitors and callers, and will play a vital role in creating a welcoming and professional environment at Fast + Epp. An ideal candidate has 1 to 2 years administrative experience and is highly organized, resourceful, able to anticipate needs, and juggle competing priorities. Primary Responsibilities:
Front Desk & Visitor Experience

This role is Monday to Friday 8:30 AM to 5:00 PM in the Vancouver office.

Answer, screen, and direct phone calls with professionalism and warmth.

Greet and assist all visitors, vendors, and clients, ensuring a positive experience.

Respond to general inquiries with accurate and helpful information.

Ensure the reception area is clean, organized, and consistently staffed.

Own the upkeep and organization of office kitchens, including loading/unloading the dishwashers, tidying up after lunch, replenishing supplies, and ensuring the spaces are clean, stocked, and welcoming.
Office & Administrative Support
-
Receive, sort, and distribute incoming mail and deliveries; manage outgoing mail and courier services.

Monitor inventory and place orders for office, kitchen, and general supplies.
-
Support regional offices by proactively checking in on supply needs and coordinating deliveries.

Coordinate meeting logistics, including room bookings, catering, setup, and cleanup.
-
Organize and coordinate weekly Coffee Breaks and Company Lunches, including food ordering, setup, dietary considerations, and clean-up.

Tidy, clean, and organize common areas, kitchens, and meeting rooms.
-
Organize and maintain the office library, including magazines, books, and shared resources.

Keep PPE closet organized and well-stocked.

Provide cross-departmental and cross-office administrative support, including:

Formatting documents, spreadsheets, and slide decks.

Creating and issuing certificates of insurance.
-
File archiving and retrieval (physical and digital).
-
Scheduling and coordinating vendor visits or service providers.

Helping to plan and execute internal lunch & learns, events, and meetings.

Perform other administrative and operational tasks as needed.

You work closely with the Operations Team.
What you bring to the table:

1-2 years administrative, client-facing, or related role.

Strong proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.

Proven ability to manage calendars, schedule meetings, and coordinate logistics.

Excellent organizational and time-management skills.

Ability to prioritize tasks and adapt to shifting priorities.

Friendly, professional, and service-oriented with strong communication skills.

Strong interpersonal skills when interacting with colleagues, clients, and external partners.
