About the role

As ATB's next Project Coordinator, play a crucial supporting role in the successful planning, execution, and closing of individual projects and the overall project portfolio. Working closely with our Delivery Lead, Program Managers, Project Managers, and cross-functional teams, the Project Coordinator helps ensure projects stay on track, within budget, and meet objectives. This role requires strong organizational skills, attention to detail, excellent communication, and a proactive approach to problem-solving.

Accountabilities

Project & Portfolio Support:

  • Assist Project Managers in developing and maintaining project plans, schedules, and budgets.
  • Coordinate project meetings, including scheduling, preparing agendas, distributing minutes, and tracking action items.
  • Maintain and organize project documentation, including project charters, scope documents, requirements, risk registers, and lessons learned.
  • Track project progress, identify potential roadblocks, and escalate issues to the Project Manager as needed.
  • Monitor project expenditures against budget and assist with financial reporting.
  • Support the creation of project reports, presentations, and status updates for stakeholders, contributing to a clear overview of the project portfolio's health.

Communication & Collaboration:

  • Facilitate effective communication among project team members, stakeholders, and external vendors.
  • Act as a central point of contact for project-related inquiries.
  • Assist with stakeholder management and communication plans.
  • Foster a collaborative and positive team environment.

Administrative & Logistical Support:

  • Arrange resources, equipment, and materials required for project activities.
  • Process invoices, expense reports, and purchase orders related to projects.
  • Coordinate travel arrangements and logistics for project team members, if required.
  • Manage project-related correspondence and communications.

Risk & Quality Management:

  • Assist in identifying and documenting project risks and issues.
  • Support the implementation of risk mitigation strategies.
  • Contribute to quality assurance activities and ensure project deliverables meet defined standards.

Continuous Improvement:

  • Participate in post-project reviews and contribute to identifying areas for process improvement.
  • Stay updated on project management best practices and tools.

Skills, experience & requirements

Education:

  • Bachelor's degree in Business Administration, Project Management, or a related field (or equivalent practical experience).
  • Optional: Project management certification such as CAPM or PMP in progress is a plus.

Experience:

  • 1-3 years of experience in a project coordination or administrative support role, preferably within a project-driven environment.
  • Familiarity with project management methodologies (e.g., Agile, Waterfall) is an asset.

Skills:

  • Exceptional Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and maintain meticulous records.
  • Strong Communication Skills: Excellent written and verbal communication, with the ability to interact professionally with diverse stakeholders.
  • Proficiency in Project Management Tools: Experience with Jira and Smartsheet is nice to have.
  • Proficiency in Google Workspace: Strong skills in Google Docs, Sheets, Slides, and Gmail are required.
  • Problem-Solving Abilities: Proactive and resourceful in identifying and resolving issues.
  • Attention to Detail: Meticulous and accurate in all aspects of work.
  • Team Player: Ability to work collaboratively and contribute positively to a team environment.
