About the role

We are looking to add a full-time Medical Office Assistant to our clinic in the north of Calgary! The primary function of the Medical Office Assistant is to provide an exceptional client experience and has practical experience utilizing these skills in the medical and , aesthetics field. This role is also accountable for ensuring all guests receive the “Genuvis” experience while visiting a Genuvis

facility, verifying patient demographic information, taking payments, and maintaining cleanliness throughout the facility.

Role Objectives

● Greet clients upon arrival and provide the Genuvis experience through excellent customer service

● Go above and beyond to meet client expectations

● Support doctors and other health care professionals by performing necessary administrative tasks and minor medical duties as requested

● May be asked to assist the medical team with additional tasks such as rooming patients, taking histories, and assisting with procedures in a limited capacity.

● Perform duties associated with dermal esthetics, including rooming patients, taking photos, charting visits, reviewing safety protocols and taking payments.

● Perform appointment bookings, reminder, and follow-up calls.

● Answer online customer inquiries through our software systems

● Manage client referrals and patient information database

● Accept client payments in a professional and confidential manner

● Ensure reception area is tidy and presentable, stocked with all necessary stationery and material

● Participate in monthly product training and customer service training as needed

● Educate customers on products and services provided by the clinic

● Perform other duties as requested by management and supervisory team

Role Qualifications

● MOA certification from an accredited institution or higher preferred

● 1+ years of proven clerical or customer service work experience

● Proficient in Microsoft Office Suite programs and Google Suite

● Excellent communication skills, both written and verbal

● Positive attitude and willingness to learn new skills

● Ability to work as a team and independently

● Flexible availability, willingness to work weekends and evenings

● Possesses excellent time-management skills

Education:

  • AEC / DEP or Skilled Trade Certificate (preferred)

Experience:

  • MOA: 2 years (required)
