POSITION OVERVIEW

As a Proposal Coordinator in the Pipeline Division of Somerville, you will play a pivotal role in the development and delivery of high-quality proposals for major infrastructure, maintenance, and construction projects. Working closely with internal and external stakeholders, you will ensure that all proposals align with client requirements and corporate standards.

Proposals may include : Request for Proposals (RFPs), Request for Quotations (RFQs), Prequalifications, Expressions of Interest (EOIs), etc.

This is a full-time, in-office position.

KEY RESPONSIBILITIES

  • Coordinate the proposal development process from initial request through to final submission.
  • Access documents using various e-sourcing platforms (eg. MERX, Bids & Tenders, Biddingo, etc)
  • Review and interpret RFP documents to identify submission requirements, deliverables, and compliance criteria
  • Assign tasks and manage timelines with internal stakeholders (including Project Management, Estimating, HSE, Quality, Indigenous Relations, Finance, Legal)
  • Monitor for Addendums, Clarifications etc. and ensure team members are updated and requirements addressed in the submission
  • Edit and format proposal content, ensuring clarity, consistency, and alignment with company branding and Owner expectations
  • Create and Maintain proposal templates, resumes, project profiles, and other boilerplate content as required
  • Ensure proposals are completed in full and comply with Owner stipulated requirements and successfully submitted using various e-sourcing platforms (eg. MERX, Bids & Tenders), or print, package and deliver hard copies as required
  • Support post-submission activities, including addressing any addenda and clarification responses, etc.
  • Follow up on status of submissions until project awarded

In addition, support Business Development Manager with:

  • Research and identify potential clients and or market opportunities
  • Track communications and schedule follow ups as required
  • Support in the preparation of proposals, presentations and marketing materials
  • Track and report on performance metrics
  • Help organize attendance at industry events, conferences, networking functions
  • May also be required to provide general support for Management

QUALIFICATIONS

  • Post secondary education in Administration or Communication
  • Minimum 3 years’ experience in a Proposal Coordination role, preferably in the Energy Sector
  • Strong communication and writing skills
  • High degree of organizational skills
  • Proficiency in Microsoft Suite (Word, Excel, PowerPoint) and Adobe, SharePoint
  • Able to work in a deadline-driven environment
  • Work effectively under pressure and adapt to changing priorities
  • Strong interpersonal skills
  • Marketing and design experience are assets
  • Experience in a construction office an asset

Compensation

  • Competitive compensation, including benefits and company pension.

Hours

Monday to Friday, 8am – 4:30pm with ½ hour lunch (8 hours per day). Occasional overtime may be required to meet deadlines.
