Reporting to the Manager, the Coordinator will coordinate and manage critical project activities by applying project management knowledge, skills, tools, and techniques to satisfy customer needs and expectations during project lifecycle. This position requires balancing competing demands such as scope, schedule, and quality of deliverables; issue/risk management and problem resolution as well as ensuring accurate project documentation and meeting minutes.

The initial focus areas for the team’s work are centered around the following objectives:

  • Comprehensive engagement to establish multi-year strategy and implementation of the program as part of central waitlist management program.
  • Support the delivery of a provincial system to track patient flow from initial referral to the appropriate team member, leveraging existing provincial assets and systems.
  • Support the implementation of provincial projects and initiatives to establish clinical, surgical and diagnostic imaging central intake hubs across the province.
  • Support provincial program process enhancement and reporting at the Region, Ontario Health Team, hospital, and provider levels.
  • Collaborates with the operations and communications teams to:
  • Summarize, analyze, and assist with the preparation of documents and presentation material.
  • Develop final quality standards or related quality products that are suitable for a variety of audiences (i.e., clinicians, service providers, public, patients)
  • Develop other tools and products related to the quality standard and to support its implementation.
  • Collaborates with the internal and external team to:
  • Engage external stakeholders in supporting the dissemination of project.
  • Leverage existing internal and external processes and system platforms to support uptake of the initiative.
  • Develop dissemination and implementation plans and strategies for project.
  • Collaborates with OH colleagues to support and execute other activities related to the project

Here Is What You Will Be Doing

  • Monitors and tracks project milestones and any deviations from the work plan within the project team, producing regular status updates and documenting recommended corrective actions as needed.
  • Supports and manages team project tracking and reporting tools, such as SharePoint, and assists with the development, documentation, and implementation of new processes, tools, and policies.
  • Ensures adherence to project schedules by tracking progress and escalating issues and risks when necessary.
  • Coordinates issue management according to established policies and procedures, following up with relevant individuals to confirm that agreed-upon actions have been completed.
  • Produces high-quality documents, including briefing notes, presentations, detailed meeting minutes, and action plans.
  • Supports project teams and working groups in the development and management of project plans.
  • Performs cross-functional and other duties consistent with the job classification, as assigned or requested.
  • Carries out additional duties as required.

Education And Experience Here is what you will need to be successful:

  • Minimum of 3 years business experience, including one to two years’ experience in a project coordination role.
  • An undergraduate degree with a major/minor in healthcare administration, informatics, business, or equivalent experience is preferred.

Knowledge And Skills

  • Strong knowledge of Microsoft Office tools including PowerPoint, Excel and MS Project.
  • Experience with Microsoft SharePoint is an asset. Good knowledge of analysis, problem solving and structured approaches to identifying solutions
  • Sound knowledge of project management methodology.
  • Strong written and verbal communication and documentation skills.
  • Excellent interpersonal skills, with ability to work with staff from across Ontario Health and external stakeholders to achieve project goals.
  • Ability to multi-task, follow up and manage competing priorities.
  • Comfortable working in a dynamic and fast-paced environment.
  • Detail oriented with excellent organization and time management skills.
  • Experience in the successful completion of moderately complex projects.
  • Experience with impact analysis, process implications and change management.
  • Must be team-oriented, possess a positive attitude and work well with others.
