The Opportunity

Reporting directly to the Commissioner of Finance/Chief Financial Officer, this administrative role is responsible for ensuring optimal effectiveness of the operational support of the Department.

As the Administrative Coordinator, Finance you will perform the following duties, including but not limited to:

Functional Responsibilities:

  • Assist the CFO, Treasurer and Manager of Purchasing in day-to-day activities including research, correspondence, records management, scheduling, phone coverage, minute taking and assisting with confidential matters.
  • Administer the department’s P-card purchasing and record keeping.
  • Assist with coordinating meetings, staff reports and minute taking.
  • Process invoices for payment.
  • Provide Administration and corporate reporting for the Town’s Amazon Business accounts.
  • Data entry support for purchase order processes.
  • Assist with mailing and courier across the department including distributing mail.
  • Acts as a department contact and resource for various requests, which involves gathering and distributing information to department staff, the public and external stakeholders.
  • Assisting where appropriate on data entry and preparation of finance documents including journal entries.
  • Assist with the administration of Town grants programs (compiling grant requests, preparing letters, responding to inquiries).
  • Perform additional duties and undertake special projects as assigned.

The Ideal Candidate

We are seeking an experienced administrative support professional with a post-secondary diploma in Business Administration or closely related field. Our ideal candidate has a minimum two (2) years related experience in demonstrated understanding of municipal government practices or finance administration. Knowledge of Great Plains Dynamic or an ERP system would be an asset.

The ideal candidate will have demonstrated customer service excellence that reflects Caledon’s quality standards: accurate, courteous, responsive, and easy to navigate. We are seeking an individual with excellent verbal and written communication skills with the ability to give obtain and/or exchange routine information.

The successful candidate for Administrative Coordinator, Finance will be required to work a flexible schedule, including in the office, remotely and after hours (as required).

This position offers a salary range of $67,259.33 to $84,074.16 plus a competitive benefit package.

Satisfactory passing of a criminal record check, and proof of qualifications will be required of any successful candidate(s) for this position.
