We are accepting applications for the following 1.0FTE permanent Procurement Associate at the Education Centre in Seaforth, Ontario**.**
Hours of Work: 35hours per week, 12 months per year
Compensation Package Details:
Rate of Pay: $23.86 - $26.61 per hour, Level 1of the OSSTF-ESSP Collective Agreement. Effective September 1, 2025, the rate of pay is $24.86 - $27.61 per hour.
Pension Plan : Defined pension plan through the Ontario Municipal Employees Retirement System (OMERS)

Essential Functions and Responsibilities :
Reporting to the Procurement Services Manager, the successful candidate will:
- Respond to internal and external procurement enquiries from schools, Education Centre staff, vendors, customs broker, courier service, etc.
- Perform sourcing of goods/services and prospective vendors through market research, industry analysis and traditional procurement practices as requested.
- Under the direction of the Procurement Services Manager, assist with the competitive procurement (RFT, RFP, RFQ, etc.) process for goods and services including data collection, document preparation and distribution, collating/organizing submissions, participation on team to assess information, and communication to successful vendor.
- Key data and process purchase orders in accordance with the Procurement Administrative Procedures.
- Work with vendors to resolve issues (e.g. backorders, missing product, damaged product, etc.)
- Receive goods ordered by Procurement Services for the Education Centre (e.g. paper, office supplies, etc.) and maintain Education Centre inventory/stockroom.
- Liaise with Financial Services Accounts Payable staff regarding invoice payment as required.
- Participation in School Catalogue process including drafting of catalogue, entering of tendered pricing, communication and support to schools, processing school requisitions through to purchase order, and distribution of purchase orders to vendors.
- Respond to TopDesk tickets and eBase work orders to support inquiries for troubleshooting, maintenance and repair of office equipment (e.g. photocopiers, fax, telephone systems).
- Provide support and perform related duties for the Procurement Services Department as needed including data-entry, word processing, filing, copying, faxing and processing incoming/outgoing mail and courier (internal and external), etc.
- Provide overflow support to Accounts Payable including processing of invoices, confirmation that transactions are in accordance with Board procedure (i.e. proper authorization), coding of HST rebate where applicable, batch auditing, and filing.
Job Specifications and Requirements :
- One-year Community College diploma in Office Administration, Supply Chain or Accounting, plus up to 6 months related experience; or a combination of experience, education and training that is considered equivalent.
- Good understanding of supply chain procedures and internal policies/applicable government legislation is an asset.
- Proven computer skills/literacy, specifically in MS Office, spreadsheets, databases and familiarity with accounting software.
- The ability to safely lift up to 50 lbs from time to time.
- Proficient and accurate keyboarding skills.
- The capacity to work independently, problem-solve and multi-task in a busy environment.
- Proven professional, interpersonal and oral and written communication skills and a high degree of confidentiality.
- Some travel may be required.
