Calgary Academy is seeking a Communications Administrator for a 12-month opportunity, beginning mid-August 2025.
As the Communications Administrator, you’ll play a vital role in keeping the Communications team running smoothly, managing logistics, maintaining systems, coordinating with vendors, and supporting the creation of impactful content and events. Working across the Headwater Learning Group (HLG), including Calgary Academy Society, Headwater Learning Foundation, and Headwater Learning Solutions, you’ll help ensure that our communications are delivered with clarity, consistency, and care. Key Responsibilities
Administrative Support
- Perform routine administrative tasks including printing, scanning, ordering supplies, and coordinating schedules to support the daily operations of the Communications team.
- Maintain and update internal documentation for departmental processes to ensure consistency and knowledge sharing.
- Support workflow improvements by documenting procedures and assisting with the setup or maintenance of administrative systems and collaborative tools.
- Maintain accurate content across platforms such as SharePoint, WordPress, InCopy, and email distribution lists, ensuring timely updates based on information from internal partners.
- Monitor inventory levels of print and promotional materials, following procedures for restocking and communicating replenishment needs.
- Manage general inquiries and coordinate customer support and order fulfillment through the Headwater Learning Solutions Shopify store.
Communications Systems and Content Support
- Liaise with external vendors to obtain quotes and place orders for promotional materials, signage, printing, and catering, ensuring alignment with timelines, specifications, and budget requirements.
- Assist in the development and distribution of promotional content, including brochures, newsletters, reports, and other materials, as directed.
- Support survey administration by formatting content, managing distribution lists, and organizing responses.
- Accurately record meeting minutes and prepare clear summaries to support decision-making and project follow-up.
- Serve as the first point of contact for general inquiries to the Communications team, providing timely and professional responses.
- Foster positive working relationships with staff, stakeholders, and external partners through clear, respectful communication.
- Maintain and update membership records with professional organizations (e.g., CASE, CCAE).
Photography, Video and Event Support
- Assist in coordinating logistics and scheduling for photoshoots and video projects, including booking spaces and managing timelines.
- Research and recommend participants for video projects, as directed by the team.
- Support set-up and take-down for filming days, including light preparation and organization of spaces.
- Provide event logistics support including planning, material preparation, room setup, errands, and supply pickups.
Qualifications
- 0–2 years of experience in an administrative support role; experience in a communications or marketing environment considered an asset.
- High school diploma or equivalent required; completion of a relevant certificate or diploma program (e.g., Office Administration, Communications, Marketing, or Business) is an asset.
- Strong working knowledge of Microsoft Office, including advanced proficiency in Word, Excel, Outlook, and PowerPoint.
- Tech-forward mindset with an interest in learning and using tools such as Adobe PDF, Adobe InCopy, Shopify, and WordPress.
- Comfortable navigating shared platforms such as SharePoint or cloud-based storage tools.
- Experience with online survey tools, email distribution platforms, or basic graphic/layout software considered an asset.
- Database entry or maintenance experience is an asset.
- Exceptional organizational skills, with a proven ability to prioritize tasks effectively and consistently meet targeted deadlines.
- Professional and courteous communication skills, both written and verbal, with the ability to interact effectively with internal stakeholders, vendors, and partners.
- Comfortable supporting logistics for events, projects, or promotional material distribution.
- Demonstrated ability to collaborate in a team environment and respond positively to feedback and direction from supervisors.
- Proactive, flexible, and adaptable with a problem-solving mindset.
- Valid Class 5 driver’s license and access to a reliable vehicle.
- Clear Criminal Record Check inclusive of Vulnerable Sectors (only required, at the time of hiring)

This position’s starting annual salary is $44,000 to $47,00 and will be determined depending on a candidate’s experience and competencies.
This position offers a hybrid working environment which allows for remote and onsite hours required each week. The standard work hours are 7.5 hours, with flexible start times from 7:30 a.m. to 5:00 p.m., Monday through Friday with a 30-minute unpaid lunch break. Occasional evening and weekend work could be required.
