Join a dynamic administrative team supporting a large university food services operation. This role focuses on accounts payable, including invoice processing, vendor communication, and ensuring timely, accurate payments. Ideal for a detail-oriented, organized individual with experience in the food services industry.

Job Summary

In support of the overall goals of University Food Services, a unit within the division of Student Affairs, the Financial Operations Clerk performs a variety of financial and administrative functions to assist in the daily operations of the department. This position provides front line reception for the department ensuring excellent service for students, staff and guests.

This position develops and maintains in-depth expertise in University Food Services procedures using a variety of software systems. The Financial Operations Clerk will provide clerical and other assistance in the department as required.

Job Requirements

Experience:

Must have a minimum of two (2) years of recent experience in a similar position, preferably catering or similar food /beverage outlet and or administrative role or an equivalent combination of education, training and experience.

Knowledge/Skills/Abilities:

  • Excellent organizational skills including attention to detail, time management, and ability to multi-task in a fast-paced environment
  • Strong communication and interpersonal skills with demonstrated ability to work effectively within a team environment, as well as the larger UVic community and external agencies
  • Ability to work independently with limited supervision and resolve tasks and/or problems by exercising judgement and innovation, and employing critical thinking and/or analysis
  • Administrative ability to organize & plan effectively
  • Ability to prioritize, manage workload and meet deadlines
  • Experience processing invoices and the ability to follow and communicated to others various financial and operational policies and procedures.
  • Experience reading and understanding Banquet Event Orders an asset
  • Experience working with Caterease or similar catering software program, and Blackboard POS system or similar is an asset.
  • Experience using computer software for spreadsheets, word processing, and databases
  • Understanding of cash bank deposit and tracking and verifying the daily cash deposits is an asset
  • Understanding of general payroll processes, application of GST/PST, and basic accounting is an asset.

Specialized Knowledge/Education:

Secondary school graduation or equivalent. Food Safe certification is an asset.
