Type: Part-time position with the potential to grow into a full-time role.

Position Summary:
The Administrative Assistant supports the daily operations of the Chilliwack Cultural Centre by performing a wide range of administrative, clerical, and support tasks. This position plays a critical role in ensuring smooth office management and supporting staff, volunteers, and patrons. This role works closely with The Centre’s Bookkeeper to maintain accurate financial records and support bookkeeping tasks as needed.
This dynamic role requires exceptional organizational, communication, and leadership skills, as well as the ability to collaborate across departments. Flexibility is essential.
Key Responsibilities and Duties:
· Administrative Support:
o Answer and direct phone calls, emails, and other inquiries in a professional and timely manner.
o Maintain and organize office files, records, and documentation, both digital and physical.
o Prepare and edit correspondence, reports, and presentations as needed.
o Data entry and digital filing support for various departments.
· Financial and Bookkeeping Support:
o Collaborate with the Bookkeeper to ensure accurate financial tracking and reporting.
o Assist in processing invoices, payments, and reimbursements.
o Support budget tracking and prepare financial documents as needed.
o Handle data entry and maintain financial files in accordance with organizational policies.
· Patron Experience Responsibilities::
o Greet and assist visitors, patrons, and vendors with professionalism and warmth.
o Address general inquiries about programming, ticketing, and events.
o Serve as a liaison between staff and patrons, providing excellent customer service.
o Ensure a high level of patron service for the Chilliwack Cultural Centre
o Maintaining a high level of knowledge of the activities and services offered at the Chilliwack Cultural Centre
· Act as an Ambassador for The Centre when in public
· Participation in the implementation of Chilliwack Arts & Cultural Centre Society Fundraisers
· Adhering to all Chilliwack Cultural Centre policies and procedures
· Other duties as assigned
Location and Commitment:
· Chilliwack Cultural Centre Facility Office
· Offsite events and meetings
· This is a part-time position scheduled primarily during regular weekday business hours (Monday to Friday). Occasional evening or weekend hours may be required to support events or special programming. Exact schedule to be determined in consultation with the successful candidate.
Qualifications:
· High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
· Experience with basic bookkeeping tasks is required.
· Strong organizational and time-management skills.
· Excellent verbal and written communication abilities.
· Proficiency in Microsoft Office Suite (Word, Excel, Teams, SharePoint).
· Familiarity with accounting or bookkeeping software (e.g., Sage 50 Accounting Software) preferred.
· Ability to multitask and prioritize tasks in a fast-paced environment.
· Ability to work independently and as part of a team.
· Passion for the arts and commitment to supporting the organization’s mission and values.
Wages and Benefits:
- $23 per hour
- 10.6% benefit pay after the first three months
