TEMPORARY POSITION

We are accepting applications for the following 1.0FTE temporary Pathways and SHSM Secretary position.

Hours of Work: 35hours per week, 10 months per year

Employment Start Date: August 25, 2025

Employment End Date: July 3, 2026

Compensation Package Details:

Rate of Pay: $26.56 - $29.26 per hour as outlined in the OSSTF-ESSP Collective Agreement as of September 1, 2025

The Pathways Innovation Centre is a teaching and learning space at Stratford Intermediate School in Stratford, Ontario. The Centre boasts flexible experiential learning spaces to build student engagement and foster creativity in skilled trades and technological education. The Student Success and Pathways department of AMDSB is seeking a creative and organized individual to manage the use of the Centre and to support learning opportunities for students and staff in a variety of Pathways.

Under the leadership of the System Principal of Student Success and Pathways, the Pathways and SHSM Secretary will be responsible for the following:

Essential Functions and Responsibilities:

  • Prepare the Pathways Innovation Centre for events based on user group needs and requests;
  • Support the safe and effective use of equipment and the space to maximize learning;
  • Maintain an accurate inventory of supplies and equipment;
  • Track expenditures of expenses/budget related to equipment, materials and inventory;
  • Order materials and supplies as needed;
  • Arrange for services/supports for identified issues related to the equipment at the PIC
  • Support the Pathways team with their program requirements;
  • Responds efficiently to inquiries through various forms of communication (i.e. phone, email) and gathering necessary information to achieve customer/user group satisfaction;
  • Communicate effectively with transportation outlets and classroom teachers in order to secure busing for workshops and special events;
  • Must be proficient in Aspen in order to effectively support the SHSM program;
  • Communicate effectively with school staff in order to track and implement the requirements for the SHSM program that may also include OYAP, Dual Credit and Cooperative Education programs;
  • Track and support some of the elements of the cooperative education program including participation, promotion and budgeting;
  • Maintain accurate, up-to-date records related to the PIC workshops, SHSM and other programs;
  • Perform data entry for the Ministry and Board Reports in SP Connect or other means;
  • Record and transcribe meeting minutes, as required;
  • Assist in executing special pathways events and initiatives such as FunTECH kits, The Real Deal on Skilled Trades, Trades & Tapas etc.;
  • Serve as a resource to all staff regarding Board/school procedures;
  • Ensure accurate record keeping and maintenance of school formula budget records - generate purchase orders, record, review, compare expenditures for each pathways program and assist the accounting department to resolve discrepancies; reimburse staff and prepare reports for submission;
  • Provide support and perform related duties for Pathways team; assist with various items as required such as Pathways events, filing, copying, faxing, data/mark entry in Aspen;
  • Perform other duties as required;
  • The position may require occasional evening or weekend work and will be paid according to Article 14 of the Collective Agreement.

Qualifications and Skills:

  • One year college diploma in office administration plus up to one year related experience; or a combination of experience, education and training that is considered equivalent;
  • Experience working with youth;
  • Proven computer skills, specifically in MS Excel, Navision and school banking software;
  • Competent bookkeeping skills and ability to work well with numbers;
  • Ability to work independently, problem solve and multi-task in a busy environment;
  • Proven leadership, organizational, professional, interpersonal, oral and written communication skills, and a high degree of confidentiality
