Job Summary
Professional Development & Community Engagement (PDCE) is a non-academic service unit within the Faculty of Education. We work with the departments, units and schools in the Faculty and with school districts and educational institutes across the province to build programming that supports the professional development of all types of educators across British Columbia and Canada. We are guided by the pillars of inclusivity, accessibility, and Indigeneity.
The Marketing & Communications Assistant provides assistance to the Manager, Marketing & Communications and the Marketing & Communications team in developing and delivering a full range of marketing materials to meet key performance indicators, and communication initiatives to enhance the awareness and image of PDCE and our programs at the local, provincial, national and international levels. On a day-to-day basis, the Marketing & Communications Assistant prepares e-newsletters, assists with promotion materials development, updates contents for social media platforms, and provides general administrative support to the Marketing and Communications team.
Organizational Status
Reports to the Manager, Marketing & Communications and works closely with the Marketing & Communications team and Management team. Works closely with Faculty communicators and the Office of the Dean. Liaises regularly with faculty members, staff, students, and alumni and with other UBC units as required.
Work Performed
Communications – 20%

Administers the PDCE’s e-newsletter system. This includes drafting and distributing the monthly PDCE e-newsletter and various e-campaigns using established templates, reviewing and editing content submissions for fact-checking, and liaising with the PDCE Management team regarding promotion needs.

Assist in the development of communication materials for a variety of audiences across a diverse array of platforms including, but not limited to, websites, marketing materials, articles, and reports.

Assists with the promotion of Information Sessions including updating websites, creating RSVP lists, messaging subscribers, and posting videos.

Assists with updates to Faculty websites through WordPress.
Social Media – 40%
- Coordinates, maintains, and publishes to social media channels, including: Twitter, Facebook, YouTube, and Flickr. Provides routine updates to social media content using Hootsuite.
- In close consultation of Manager, Marketing & Communications, oversees the digital presence and voice of social media channels.
- Assists in creating and re-purposing relevant, high-quality organic and paid content related to target audiences.
- Schedules, keeps track of and reports on paid social media campaigns on Twitter and Facebook.
- Monitors and reports on statistics of social media accounts and post engagement; recommends new approaches as needed.
- Contributes to the creation of eye-catching, brand-aligned graphics for posts through Canva or stock imagery.
Graphic Design – 20%
- Provides graphic design support in the creation of high-quality digital and print communications and marketing collateral using software including the Adobe Creative Suite and Canva. This includes newsletters, website graphics, video graphics, presentations, brochures and posters, and digital signage content.
Administrative – 20%
- Provides day-to-day administrative assistance to the Marketing & Communications team. This includes scheduling meetings, drafting meeting documents and reports, assisting with budget tracking, and liaising with vendors.
- Monitors the Marketing & Communications general email inbox including responding to requests, drafting communication, and promptly updating databases when requests to unsubscribe to communications are received.
- Updates and maintains database of contacts ensuring compliance with Canadian Anti-Spam Legislation (CASL) and Freedom of Information and Protection of Privacy Act (FIPPA).
- Attends regular Marketing & Communications meetings with the PDCE Marketing & Communications team, and with the Faculty communicators. Liaises where needed with UBC Branding & Marketing, Media Relations and other campus communicators.
- Performs other related duties as required.
Consequence of Error/Judgement
Judgment and tact are required when communicating with faculty members, staff, students, alumni and faculty partners, as well as when coordinating projects within the unit. All communication is representative of the Faculty, and should be conducted in a professional and formal manner. Inappropriate judgment could potentially damage the reputation of the Faculty, and could possibly have a negative impact on future partnerships and working relationships.
Supervision Received
This position works under the direction of the Manager, Marketing & Communications with considerable latitude.
Supervision Given
This position does not have supervisory responsibilities. May oversee and coordinate the work of student staff and internal & external service providers.
Minimum Qualifications
High school graduation and two years post-secondary education, or related experience or the equivalent combination of education and experience.

Preferred Qualifications
- Undergraduate degree in arts, communications, marketing or public relations preferred.
- Ability to effectively use office software at an intermediate level Microsoft Office and Teams, Microsoft Outlook.
- Ability to effectively use content management and e-newsletter software at an intermediate level WordPress, Campaigner, Envoke
- Proven ability to run social media campaigns and grow social media audiences. Experience using Facebook, Twitter, YouTube and Hootsuite required. Experience running paid social media ads an asset.
- Ability to effectively source photographs and videos using various online digital assets and stock libraries.
- Proven ability to design high-quality digital and print materials. Comfort using one or more of Adobe Illustrator, InDesign or Photoshop required. Experience using Canva an asset. An eye for design also an asset.
- Excellent verbal and written communication skills.
- Ability to effectively manage multiple tasks and priorities; prioritize and work effectively under pressure to meet deadlines; and be thorough, accurate, and have a high level of attention to detail.
- Ability to anticipate problems and issues, plan ahead, and exercise sound judgment.
- Ability to work effectively independently and in a team environment.
- High level of enthusiasm, diplomacy and professionalism.
