Front Desk Lead Role Overview

We are looking for a dynamic, dedicated and customer-oriented Front Desk Lead at our Bonnie Lake Resort location in Muskoka. Someone who is passionate about customer service and comfortable in a leadership role would be a great fit here. Strong, detail oriented, reliable, cool under pressure and fun would be how we would describe the right candidate for this role.

The Front Desk Lead, will manage most daily operations at the Welcome Centre, ensuring exceptional guest and owner experiences while driving resort profitability through various administrative tasks and sales opportunities. Your role will directly involve fostering positive relationships with owners, guests, vendors, and team members making the resort a fun, safe and well-organized destination of choice.

Responsibilities

The Front Desk Lead role is to ensure the maximum profitability of all incremental business activities, while providing customer satisfaction through high standards of service.

The Front Desk Lead’s responsibility will include but not limited to the following:

A typical day for a Front Desk Lead could involve:

  • Owner Account Management
  • Process owner account payments, including handling occasional collection calls and bi-annual fee payments
  • Manage internal maintenance job systems, including logging jobs, billing owners, and coordinating updates with the maintenance team
  • Rental Program Management
  • Ensure clear and detailed communication with housekeeping, front desk, and maintenance teams to ensure cottages are well stocked and prepared for check-in and cleaned after guest departures
  • Provide excellent guest check-in/check-out experiences
  • Maintain strong owner partnership relationships, including addressing damages, providing rental statements, and managing rental agreements
  • Encourage positive social media reviews
  • Event Planning and Execution
  • Research, plan, organize and supervise all resort events
  • Adhere to the resorts events budget and provide updates to the General Manager regularly
  • Ensure open communication with vendors leading up to and on the day of scheduled events
  • Process invoices upon vendor completion for payment in accordance with accounting processes
  • Seek out ongoing feedback from guests and owners on the quality and type of events at the resort
  • Concessions & Sales
  • Sell recreational activities like equipment rentals, food/drink, and merchandise to owners, vendors, and vacation guests
  • Perform monthly inventory audits, maintain stock levels by placing orders as needed and source new and exciting, local items to showcase at the resort
  • Resort Maintenance
  • Ensure cleanliness of the Welcome Centre via the Housekeeping team, including entrance, interior, exterior and washrooms
  • Manage opening and closing duties for the Welcome Centre
  • Administrative Support
  • Answer calls, check messages, and respond to inquiries via phone
  • Monitor resort emails and communicate with owners when necessary
  • Provide training and mentorship to new staff
  • Manage visitor sign-ins
  • Reconcile petty cash, event, and laundry funds in collaboration with accounting practices
  • Handle owner account inquiries quickly and efficiently
  • Participate in scheduling, interviewing, and training front desk, housekeeping, and seasonal staff

Skills/Requirements

  • Post-secondary certificate or degree in business, accounting, management, hospitality or a related field is a considerable asset.
  • Previous experience managing a small team of people
  • Previous experience in high volume customer service role with proven multi-tasking abilities
  • Experience processing payments, answering phones, and monitoring emails
  • Excellent communication skills both internal and external
  • Knowledgeable of Microsoft office applications including Word, Excel, PDF, and Outlook
  • Strong time management skills with the ability to perform multiple revenue generating opportunities and providing resort support with potential owners, existing owners and rental guests with little to no supervision
  • Must be available to work weekends and some evenings from May to October
  • Previous experience working with accounting software or purchase orders considered an asset
  • Previous experience facilitating rental check ins and check outs considered an asset
